Create or Edit One-Time Donations

Donations are how you record one-time monetary or in-kind gifts, which are different from pledges, recurring donations, and memberships.

Create One-Time Donations

To create a donation:

  1. Do one of the following:

    • On the Search results page, next to the constituent, click Action > New Donation.

    • In the constituent record, click the blue arrow and New Donation.

  2. On the Donation page, enter the Date the gift was made.

  3. Enter the total Amount of the gift.

  4. Enter the Non-Deductible. This is the part of the gift that is not tax deductible.

  5. Select a Fund to designate how your organization should use the money.

  6. Select the fundraising Campaign that generated the gift.

  7. Select the Appeal, such as a direct mail piece or a specific event.

  8. Select the payment Method:

    • Saved Payment: A saved credit card, EFT, Apple Pay, or Google Pay payment method. Apple Pay and Google Pay appear if the constituent previously used Apple Pay or Google Pay for a recurring donation on your online giving form. If you select Apple Pay or Google Pay, the payment is processed in Bloomerang CRM.

    • Cash

    • Check

    • Credit Card: Add a new credit card

    • EFT: Add a new checking or savings account

    • In Kind: For gifts of goods or services rather than money

    • Apple Pay: To record payments processed outside of Bloomerang CRM through Apple Pay

    • Google Pay: To record payments processed outside of Bloomerang CRM through Google Pay

    • PayPal: To record payments processed outside of Bloomerang CRM through PayPal

    • Venmo: To record payments processed outside of Bloomerang CRM through Venmo

  9. Add soft credits, tributes, or attachments as needed.

  10. In the Acknowledgements section:

    • Select whether to send an acknowledgement right after you save this donation. Read more about this.
      Important: If you use Journey Automation to automate email acknowledgements for donations, do not select to send an acknowledgement now.

    • To attach a previous acknowledgement interaction to this donation, click the plus sign +. You can repeat this step to attach more acknowledgement interactions. Read more about this.

  11. (Optional) If you enabled Online Payment Confirmation Receipts, you can send a receipt for this donation other than the one you configured one the Settings > Payments > Online Payment Confirmation Receipts page. In the Online Payment Confirmation section, from the Email drop-down list, select an email.

  12. Click Save.

Tip: Are you entering the same values every time you add a new donation? Use Rapid Gift Entry to store them as defaults so they populate automatically.

Edit One-Time Donations

To edit a donation:

  1. Click the donation entry on the constituent's timeline.

  2. Edit any of the information.

  3. Click Save.

Edit Locked Fields in Donations

To edit locked fields on a processed credit card or EFT transaction, you must first unlink the transaction from your transaction processor first. For more information, view Unlinking Transactions from Transaction Processors.

To edit locked fields in donations synced from QuickBooks Online, you must edit the sales receipt in QuickBooks Online. These donations have the status Synced From QuickBooks. When you view a synced donation in Bloomerang CRM, you can click the Synced From QuickBooks link to open the associated sales receipt in QuickBooks Online. Convert One-Time Donations to Payments

When you edit a donation, you can convert it to a recurring donation payment, pledge payment, or membership payment. If the constituent is a household member, and another household member has an active pledge, you can convert the donation to a payment on that pledge.
