View and Manage Emails

On the Emails page, view and manage the list of email messages that you send to constituents.

You can:

  • Find emails — If you have many emails, enter search keywords, apply filters, or sort the list.

  • View information about emails — View the schedule frequency, when the email was last modified or sent, and who last modified or sent it.

  • Manage emails — Copy, edit, preview, deactivate, and delete emails.

  • View delivery settings — View your organization's Email Deliverability Reputation Score and manage email interests

View the Email List

View a list of all active and inactive emails created by users in your organization.

To view emails:

  1. Click Communications.

  2. Select Emails.

  3. To view email schedule details, hover over the Frequency for that email.

  4. To find specific emails, search, filter, or sort the list.

For emails currently included in an automation, the automation name appears after the email name.

Search the Email List

To search all list columns, enter one or more keywords in the Search Email box. Only emails that match your search appear in the list.

Note: The keyword search looks for a username match, but not a date match, in the Last Modified and Last Sent

columns.

Filter the Email List

To show only certain emails in the list, select one or more filters.

Status filters:

  • Active — Emails activated by any user in your organization. This is the default filter.

  • Inactive — Emails deactivated by any user in your organization

  • Scheduled — Emails scheduled by any user in your organization

  • Sent — Emails sent by any user in your organization, the system, or Journey Automation

If you set up the Mailchimp integration before September 26, 2024, and you haven't yet upgraded to the enhanced integration, the Mailchimp and Pushed to Mailchimp filters also appear.

Settings and user filters (click Show More Filters):

  • Types — Constituent, Transaction, or Interaction

  • Purposes — Acknowledgement, Impact/Cultivation or Newsletter, and more. Read more about email purposes.

  • Email Interests — Event, Newsletter, and Volunteer Information are the default email interests. You add, edit, and remove email interests.

  • Users — Who has created, modified, sent, or scheduled emails. Includes users in your organization, the system, and Journey Automation. Inactive and deleted users appear in italics.

To clear selected filters, click Reset Filters.

Sort the Email List

By default, emails are sorted by the Last Modified date.

To sort the email list differently, click any column. To reverse the sort order of a column, click the column again.

Bloomerang CRM remembers your sort preference. If you leave and return to the Emails page, or after you log in again, the sort order you selected remains.

Copy Emails

To quickly create a different version of an existing email, copy and edit the email.

To copy an email:

  1. Next to the email, click Action.

  2. Select Copy.

  3. On the Edit Email page, select the settings for this email.

  4. To rename the email, click the Edit pencil icon.

Edit Emails

You can edit unsent emails after you create them.

To edit an email:

  1. Next to the email, click Action.

  2. Select Edit.

  3. On the Edit Email page, select the settings for this email.

Note: Once an email is sent to recipients, it is locked to preserve a record of the message, settings, and recipients and cannot be edited further. Test emails sent using the Send Test Email button remain open for editing.

Preview Emails

As a best practice, preview emails before you send them.

On the Design Preview tab, you see what recipients will see in their inbox. You’ll also see the Recipients list, Skipped Recipients lists, and the number of recipients.

To preview an email:

  1. Next to the email, click Action.

  2. Select Preview.

  3. Review the Recipients list.

  4. Review the Skipped Recipients list. Bloomerang CRM doesn't send the email to these constituents.

  5. To preview what your email looks like on desktop computers, mobile devices, and devices with dark mode enabled, click Make Changes and then click Preview Layout.

Deactivate Emails

To better manage your email list, you can deactivate emails that you no longer need to view or edit. You can always activate emails again later.

To deactivate an email currently included in an automation, you must first pause the automation. Next, delete the email action in the automation or replace the email in the email action.

To deactivate an email:

  1. To deactivate a scheduled email, first delete the schedule.

  2. To deactivate an email used by an online form, first select a different email confirmation message for the form.

  3. Click Communications.

  4. Click Email.

  5. Next to the email, click Action.

  6. Click Deactivate.

  7. To view only deactivated emails in the list, click the Inactive filter.

You can continue to edit and copy deactivated emails that have not been sent to recipients. To schedule or send a deactivated email, you must first activate it.

Delete Emails

You can permanently delete emails that you haven’t sent.

To delete an email currently included in an automation, you must first pause the automation. Next, delete the email action in the automation or replace the email in the email action.

Warning: Bloomerang CRM can’t restore deleted email messages.

To permanently delete an email:

  1. Next to the email, click Action.

  2. Click Delete.

  3. To confirm, click Delete again.

View Your Email Deliverability Reputation Score

To view your organization's Email Deliverability Reputation Score:

  1. Click Communications.

  2. Select Emails.

  3. Click Delivery Settings.

The score is a percentage based on the number of messages marked as spam or sent to bad email addresses. To improve your reputation:

  • Provide your organization's real contact information, which appears at the end of your emails.

  • Always honor unsubscribes. Bloomerang CRM emails automatically include an unsubscribe option.

  • In your email templates, select appropriate email interests and an appropriate message purpose to keep spam complaints low.

  • If you have a custom domain, configure SPF and DKIM. These required settings certify Bloomerang CRM to send email on behalf of your organization.

  • Keep your spam rate under 0.3% (three or fewer spam complaints for every 1,000 messages).

Manage Email Interests

Email interests are categories that your supporters can subscribe to. You can add, edit, rename, and delete email interests. To manage email interests, click Delivery Settings. Read more about email interests.

View Tracking Information

You can view tracking information for each email that you send. On the Emails page, when you click a sent email, the Tracking tab opens. Read more about email tracking.
