Create, Edit, and Complete Tasks

Tasks are to-do items for your organization. You can:

  • Assign a task to any Bloomerang CRM user in your organization

  • Associate a task with a constituent

  • Create tasks one at a time or in bulk

To save time, add task assignments to your automations. For example, create a donation automation, filtered by amount, to acknowledge major donors. In the automation, add a step that assigns an outreach task to someone in your organization.

Note: You must create all tasks within Bloomerang CRM. You can't import tasks into Bloomerang CRM from an outside source.

Before You Begin

Create Individual Tasks

To create individual tasks, you can:

To create an individual task from the dashboard:

  1. Click Home.

  2. On the Tasks tile, click Add Task Add Task button.

  3. Enter the Due Date.

  4. Enter the Subject. The subject appears on the Tasks tile and the constituent’s timeline.

  5. From the Assign To list, select an assignee, which can be any Bloomerang CRM user. The assignee is responsible for completing the task.

  6. Select a Purpose. This is the primary intent of the task.

  7. Select a Channel. This is how the assignee will complete the task.

  8. (Optional) Enter Notes.

  9. (Optional) To associate this task with a constituent:

    1. In the Search Constituents box, enter part or all of the constituent's name.

    2. Click the constituent.

  10. (Optional) To add one or more attachments, in the Attachments section:

    • To attach a file to this task, click Upload File.

    • To attach a URL to this task, click Website.

  11. Click Save.

To create an individual task from the Active Tasks list:

  1. Click Home.

  2. On the Tasks tile, click View All Tasks Active Tasks icon.

  3. Click New Task.

  4. Enter the task details.

  5. Click Save.

To create an individual task from a constituent profile:

  1. Click the down arrow and select New Task.

  2. Enter the task details.

  3. Click Save.

To automatically create tasks with an automation:

  1. Create or edit an automation.

Create Bulk Tasks

To create bulk tasks:

  1. Create a constituent-based report. If you filter the report by household, new tasks are associated with the head of household instead of each household member.

  2. Filter for the constituents you would like to associate with a task.

  3. Click Action and select Create Bulk Task.

  4. Enter the Due Date.

  5. Enter the Subject. The subject appears on the Tasks tile and constituent timelines.

  6. From the Assign To list, select an assignee, which can be any Bloomerang CRM user. The assignee is responsible for completing the task.

  7. Select a Purpose. This is the primary intent of the task.

  8. Select a Channel. This is how the assignee will complete the task.

  9. (Optional) Enter Notes.

  10. (Optional) To add one or more attachments, in the Attachments section:

    • To attach a file to this task, click Upload File.

    • To attach a URL to this task, click Website.

  11. Click Save. You can go to other pages in Bloomerang CRM while your tasks are being created.

After all bulk tasks are created:

  • A message appears at the beginning of the report. This message includes the number of bulk tasks created, the date, and the time.

  • The task now appears in the assignee's task list. If the task is associated with a constituent, it appears on the constituent's timeline.

  • Each task contains the same details. The assignee can edit the tasks and reassign them.

  • If the assignee enabled notification emails, they receive only one email for all of the tasks.

Update Tasks

After you create a task, update it to record progress and changes. You can update a task from any of these locations:

  • A constituent’s timeline

  • The Active Tasks List

  • The report

To update a task:

  1. Click the task.

  2. Update the task details.

  3. Click Save.

Change the Constituent

To change the constituent associated with a task:

  1. Create a new task.

  2. In the Search Constituents box for the new task, find and select the constituent.

  3. Save the new task.

  4. Delete the original task.

Reassign Tasks

To assign a task to a different Bloomerang CRM user, click Assign To or User Name and select a different Bloomerang CRM user.

Finish Tasks

To finish a task, you can:

  • Mark it as complete.

  • Save it as an interaction, which marks the task as archived.

  • Archive it.

  • Reply to the notification email. Tasks with an associated with a constituent are completed as an interaction. Tasks without an associated constituent are marked as completed. Text in your reply email appears as a note in the task or interaction. Don't attach files to reply emails because they aren't added to the task and might prevent the email from sending.
    Note: This method applies to only individual tasks. You can't complete bulk tasks by replying to the task notification email.

You must complete bulk tasks in Bloomerang CRM.

To finish a task:

  1. Click the task.

  2. Do one of the following:

    • Click Complete, and then click Complete again.

    • Click Complete, and then click Save as Interaction.

    • Click Archive Archive.

Reactivate Tasks

To find complete and archived tasks, run a Tasks report.

To reactivate a completed or archived task, open the task and click Activate. The Completed Date is removed.

To reactivate a task that was saved as interaction, delete the interaction.

Get Task Notification Emails

Bloomerang CRM can send task notification emails to task assignees. These notifications include task details, information about the associated constituent, and attachments. Assignees can use these emails to get task information without logging into Bloomerang CRM. To receive these notifications, assignees must first enable their Task Notification Email setting.

Bloomerang CRM can email these types of notifications to assignees:

  • New Task — A new task was assigned or an active task was reassigned to the assignee

  • Updated Task — A task assigned to the assignee was updated or reactivated

  • Overdue Task — A task assigned to a the assignee is past its due date
