In Bloomerang CRM, transactions have a QuickBooks Online status. For donations that you sync to QuickBooks, this status tells you whether a transaction has synced, will sync, or is syncing now.
To view the sync status, you can:
Open a transaction from a constituent’s timeline
Go to the To Be Synced page. On this page, view a list of To Be Synced transactions and download the Synced and Do Not Sync reports. You can also view solutions that help you resolve sync errors.
Note: Bloomerang CRM supports two types of QuickBooks Online integrations. This article applies only to the sync from Bloomerang CRM to QuickBooks Online. Sync Status
This table explains QuickBooks statuses in Bloomerang CRM.
QuickBooks Status | Description |
To Be Synced | To Be Synced is the default QuickBooks status for all transactions, including transactions that might have existed in Bloomerang CRM before you connected to QuickBooks Online in Bloomerang CRM. |
Sync in Progress | Transactions that are actively being synced receive this status. While a transaction is actively being synced it is locked in Bloomerang CRM and may not be unlocked and edited. |
Synced | A synced transaction has been sent to QuickBooks Online and linked to a transaction entry. A synced transaction is locked in Bloomerang CRM, but it can be unlocked and edited or refunded. |
Do Not Sync | A transaction is set to Do Not Sync by a rule in QuickBooks Online settings. Until a sync happens, a transaction set to Do Not Sync will display as To Be Synced. A transaction set to Do Not Sync is locked, but may be unlocked, edited, or refunded. Transactions with a $0 amount have the status Do Not Sync. On the Settings page, if you select All Transactions Entered as Sales Receipts, pledges have the status Do Not Sync. In the To Be Synced list, these transactions match a rule named System. |
View To Be Synced Transactions
Unsynced transactions that match a mapping rule have the status To Be Synced. These transactions exist in Bloomerang CRM but haven’t yet synced to QuickBooks Online.
Before a sync, you can view a list To Be Synced and Do Not Sync transactions on the To Be Synced page. For each To Be Synced transaction, view these details to understand what will sync:
The mapping rule this transaction matches. If you delete a mapping rule, unsynced transactions that matched that rule move to the next rule they match.
Transaction date
Constituent name and number
QuickBooks values for Service, Class, and Deposit To
Location, if you turn on location mapping on the Settings page
Transaction amount
A transaction might be in the To Be Synced list for any of these reasons:
New transactions hold (do not sync) for 24 hours, by default. You can change this setting.
You enabled Automatic Sync and the next scheduled sync hasn’t happened yet. You can always click Sync Now to start a manual sync.
You enabled Manual Sync and haven’t started a manual sync yet.
A sync happened, but an error prevented the transaction from syncing.
To view the list of To Be Synced transactions in Bloomerang CRM:
Click Settings.
Click Integrations.
Click Integrated Partners.
Click Settings.
In the Accounting section, click Go to QuickBooks Online. The To Be Synced page opens.
To sort the list, click a column. The list remains sorted by this column, even if you go to a different page or log out of Bloomerang CRM.
To view more transaction details, click the transaction.
Before a sync, Bloomerang CRM verifies that your mapping rules have active QuickBooks values. If a transaction won’t sync because it matches a rule with an inactive value, the View Error icon appears next to the transaction. For information about how to view and resolve sync errors, see the View, Fix, and Dismiss Sync Errors section.
Note: If you dismiss an error before a sync, the error automatically dismisses for all affected transactions.
View a Sync In Progress
After a sync starts, a message appears on the To Be Synced page that tells you the sync is in progress. You cannot click Sync Now when a sync is already in progress.
While the To Be Synced page loads the transactions, you can open other pages in Bloomerang CRM and run reports. For example, you can view Synced and Do Not Sync reports while this page loads.
When the sync completes, transactions that successfully synced to QuickBooks Online no longer appear on the To Be Synced page. In some cases, a transaction remains on this page because an error prevented the sync.
View, Fix, and Dismiss Sync Errors
You can view an error message that explains why a transaction will not or did not sync.
Some error messages include a solution so you can fix the issue on your own. For example, if you deactivate a service in QuickBooks Online, and that service appears in a Bloomerang CRM mapping rule, transactions that match the rule cannot sync. An error message icon appears next to affected transactions. If you click that icon, you see the solution: reactivate the service in QuickBooks.
Sometimes, a transaction won’t sync for multiple reasons. We’ll show you one error message at a time. After you resolve an error, the next error message appears.
To view or dismiss sync errors:
Click Settings.
Click Integrations.
Click Integrated Partners.
Click Settings.
In the Accounting section, click Go to QuickBooks Online. The To Be Synced page opens.
To view the reason why a transaction didn’t sync, click the View Error icon next to that transaction.
To fix the issue, follow the steps in the Solution section of the error message. In some cases, you can resolve the issue yourself. In other cases, you might need to contact Bloomerang CRM or QuickBooks Support.
To retry the sync after you fix an error, click Sync Now. You don’t have to refresh the page or dismiss the error before you start the sync.
To dismiss an error, click Dismiss Error. The error no longer appears while you stay on the To Be Synced page.
If you leave the To Be Synced page and later return to this page, errors you dismissed appear again.
If you dismiss an error, but the transaction doesn’t sync during the next sync, the error appears again.
View Synced and Do Not Sync Transactions
On the QuickBooks Online Integration page in Bloomerang CRM, open reports that show:
All transactions with the status Synced
All transactions with the status Do Not Sync
You can save, schedule, or export to Excel these reports.
To view the Synced and Do Not Sync reports in Bloomerang CRM:
Click Settings.
Click Integrations.
Click Integrated Partners.
Click Settings.
In the Accounting section, click Go to QuickBooks Online.
Click Sync Reports and select Synced or Do Not Sync.
The report opens.
You can save, export, or schedule these reports.
