Bloomerang CRM to QuickBooks Online: Sync Membership Payments

If your subscription includes the membership management add-on, you can sync membership fee payments to QuickBooks Online.

How It Works

In Bloomerang CRM, set up mapping rules with just a few clicks.

Each membership level has a separate mapping rule. In each rule, you select a QuickBooks Online deposit account. You can also select a service item, class, and location if you have those set up in QuickBooks Online.

After you save the mapping rules, membership payments sync to QuickBooks Online when you manually or automatically sync other transactions to QuickBooks Online. Membership transactions appear as sales receipts in QuickBooks Online.

Before You Begin

Before you can sync membership transactions to QuickBooks Online, you must set up the Bloomerang CRM to QuickBooks Online integration. This integration is a one-way sync to QuickBooks Online. Bloomerang CRM is the system of record (the authoritative data source).

Create or Edit Mapping Rules

Create a mapping rule for each membership level you want to sync to QuickBooks Online.

To create or edit mapping rules:

  1. Click Settings.

  2. Click Integrations.

  3. Click Integrated Partners.

  4. Click Settings.

  5. In the Bloomerang CRM to QuickBooks section, click Manage Sync.

  6. Click Mapping.

  7. Click Membership Mapping.

  8. For each membership level, select a Deposit To account.

  9. (Optional) Select a Service Item, Class, and Location.

  10. To prevent payments from syncing for a membership level, select Do Not Sync.

  11. Click Save.

  12. To view the list of To Be Synced transactions, click Back. Read more about QuickBooks Online statuses.

If you create additional membership levels later, make sure to add mapping rules for those levels. To quickly create rules right after you create new membership levels, click Go to Integrations on the Memberships page.

Sync Membership Transactions

Membership payments automatically sync to QuickBooks Online when:

During a sync, both membership payments and donations can sync to QuickBooks Online. For example, if you have 5 membership payments and 10 donations that haven’t yet synced to QuickBooks Online, 15 transactions are sent to QuickBooks Online during your next manual or automatic sync.

View the QuickBooks Status

Membership payments in Bloomerang CRM have one of these QuickBooks statuses:

  • To Be Synced

  • Sync in Progress

  • Synced

  • Do Not Sync

View a List of To Be Synced Transactions

On the To Be Synced page, view a list of membership payments and other transactions that will sync to QuickBooks Online.

To sort this list by membership level, click the Rule column.

On the To Be Synced tab, you can also view or dismiss sync errors.

Open Synced and Do Not Sync Reports

On the Sync Reports tab, open the Synced and Do Not Sync reports to view which membership payments and other transactions have synced or won’t sync.

To sort the report results by membership information, add the Membership Schedules and Payments column and select an option.

Stop Syncing Membership Payments

You can stop syncing membership payments to QuickBooks Online for some or all membership levels.

To stop syncing membership payments:

  1. Click Settings.

  2. Click Integrations.

  3. Click Integrated Partners.

  4. Click Settings.

  5. In the Bloomerang CRM to QuickBooks section, click Manage Sync.

  6. Click Mapping.

  7. Click Membership Mapping.

  8. Next to membership levels that you don’t want to sync, select Do Not Sync.

  9. Click Save.

  10. To view the list of To Be Synced transactions, click Back.
