What Donors See When Using the Invoice Payment Method (With No Donor Account)

Note: Invoicing must be manually enabled for your organization by Bloomerang. Organizations with the Auction Package have this enabled automatically. If you’re interested in using invoicing, contact Bloomerang Fundraising Support at 866-332-2999 or [email protected].

This article explains what donors see when they choose to pay standard donation forms or auction forms by invoice.

Standard Donation Form Invoices

Requesting an Invoice

When donors visit a Standard Donation Form with Invoices enabled, they’ll have the option to select Invoice as a payment method in the Payment Details section of Standard Donation Forms. Selecting this option creates a pledge for the donor to pay later. This payment method option indicates that the donor wishes to receive an invoice for the amount owed. The Invoice payment method is available for all three donation types on Standard Donation Forms (Donation, Recurring, and Events), with these exceptions:

  • Bloomerang Payments: On forms that use Bloomerang Payments, donors can't request an invoice for a new recurring donation. Recurring invoice schedules that existed before your organization moved to Bloomerang Payments carry over and continue as scheduled.

  • $0 transactions: The Invoice option isn't offered when the total is $0.

When donors reach the Payment Details section of your form, they can select Request an invoice to pay later as a payment method.

When donors select the Request an invoice to pay later option, a message is displayed to donors explaining that by selecting that payment method, they’re agreeing to be invoiced by email to fulfill the gift.

Clicking the Give button will take the donor to a confirmation page where they can review the invoice creation details.

Confirmation Email

Once they’ve submitted their donation, registration, or pledge, they’ll receive an email from your organization indicating their invoice is ready.

Beneath the summary of the transaction is a link for donors to click to pay their invoice.

The link is unique to the donor and your organization. Clicking the link in the email will take donors to a donation form that’s specific to their invoiced amount. Donors can confirm the invoice amount before completing the personal and payment details steps of the transaction.

If the donor has additional outstanding invoices generated from a standard, non-legacy donation form, they'll see information about the additional balance in the email they receive.

When the donor clicks their unique link, they'll see an additional option to Pay Full Balance.

Note: The Pay Full Balance option does not appear for forms using Bloomerang Payments.

Paying the Invoice

The rest of the form is the same as a Standard Donation Form, but with only the Credit Card and eCheck payment methods available.

If they’re paying an invoice for an event registration, they won’t have to reselect the options they entered when completing the event registration form. Because they’ve entered their personal information when creating the invoiced donation request, they should just need to confirm the contact information filled in for them. On the Payment Details step, they’ll only need to supply the requested payment method information. Event registrants’ registration details are unaffected by paying their invoice.

Once they’ve completed the Your Details and Payment Details sections, they select the Pay button to complete their donation.

From there, the donor will be taken to a payment confirmation screen and shown the transaction details.

They’ll also be sent a receipt via email that confirms the invoice has been paid.

Auction Invoices

If your organization turns on invoicing for an auction, people can choose Invoice on the auction registration or donation form and pay later. For example, a sponsor whose company must receive an invoice before it pays can register now and pay when the company processes the payment. Invoicing is available only on auction forms on the web application, not in the Givi app.

Requesting an Invoice

When registrants reach the payment step of the auction registration form, they can select the invoice option as their payment method.

Note: Invoicing isn’t available when the registration total is $0.

After a person registers, Bloomerang Fundraising holds their seats and sends the registration tickets to their email address, just like a paid registration.

Invoice Email

Registrants then receive an invoice email from your organization with a link to pay. By default, the email reads To pay your invoice, visit the following link: followed by the link, and tells registrants they'll receive a receipt by email after they pay. The link is unique to the registrant and your organization.

Your organization can customize this email on the Invoices tab of the auction's System Emails page. For more information, read [Auctions] System Emails.

Paying the Invoice

When registrants click the link in their invoice email, the auction's payment page opens and shows the amount they owe.

Registrants confirm their details, enter their payment information, and complete the payment using credit card or a US bank account. Paying the invoice doesn't change their registration details or their tickets. After they pay, they receive a receipt by email.

Registrants can always pay through the link in their invoice email, even if your organization later turns off invoicing for the auction. Your staff can also collect payments on the Invoices tab of the auction Virtual Terminal. For more information, read Auction Virtual Terminal: Invoices.
