[Beta] Donor Receipts and Invoicing

Note: Invoices are a new feature and are not yet active by default. Give us a call if you'd like more information about activating invoices for your organization.

Bloomerang automatically sends receipts to donors when they donate on a Bloomerang Fundraising form. A new invoice receipt is created to send donors a summary of their invoice transaction. These receipts can be customized so that they’re written in the voice of your organization.

Invoice Receipts can be customized using either the Global Receipts interface or the Form-Level Receipts interface. Invoice Reminders can only be customized on the form level, so this article will focus on form-level customization.

You can click the following headings to skip to that section:

To create a custom invoice receipt, navigate to your donation form, then click Receipts on the Form-Level Dashboard (Standard Donation Forms only).

On the Receipts menu, you’ll see a table listing all the available receipts for the form.

To find your invoice receipt or reminder, look for Invoice or Invoice Reminder in the System Title column.

You can use the search bar or filter by Category > Invoices to simplify the view.

Editing Invoice Receipts

On the right side of the Receipts table, click Edit Receipt.

On the Edit Invoice page, you can use the text editor, conditional content, and tags to create your own custom invoice receipts. You can also design multiple versions of your invoice receipt.

The first thing you’ll see when editing a receipt is a dropdown to Select or Create a New Version. In addition to the default version of each receipt, you can create up to 10 more custom versions.

Below the version settings, you can customize the From Name, Reply To Email Address, and Subject line for the invoice receipt.

The Invoice Body section is the text editor you can use to Insert Tags, create Conditional Content for different types of invoices, Insert Media, and more.

There are several receipt tags that can be inserted into the copy of the receipt. There are invoice-specific tags that can be inserted. The Fulfillment Link tag provides the URL to the form donors can visit to pay their invoice. The Invoice Balance tag shows the total invoice amount. The Remaining Balance tag displays the amount remaining to be paid on the invoice.

There are five Conditional Content categories. The content within the Conditional Content boxes are unique to the different types of invoices.

The One Time Donation conditional content is for invoices for non-recurring gifts that aren’t tied to events.

The Recurring Donation conditional content is for invoices generated for recurring gifts.

The Paid Invoice conditional content shows when the donor fulfills an invoice.

The Pledge Donation conditional content is for one-time pledges created with the Invoice payment method selected.

The Event Registration conditional content is for event registrations created with the Invoice payment method selected.

When you’ve set up your invoice copy and added the applicable conditional content, you can elect to include a PDF Invoice with the receipt sent via email when the invoice is generated. You can enable the PDF Invoice attachment by toggling the option on.

Click Save to save the customized invoice receipt.

Invoice Reminders

Back on the Receipts table page, you can create Invoice Reminders. To create one, click Add Custom Receipt at the top of the page, and then click Custom Invoice Reminder.

On the Edit Custom Invoice Reminder page, create a Reminder Title, choose how long to delay sending a reminder to pay the invoice, and specify a From Name, Reply To Email Address, and Subject line for the reminder email.

Like the Receipt Body, the Reminder Body lets you write a custom reminder message with conditional content, tags, and the ability to insert media.

Like the invoice receipts, you can also include a PDF reminder attachment in the reminder email by toggling the Include PDF Reminder button on. Save the reminder by clicking the Add New Reminder button.

You can add additional custom reminders and specify different delays. Reminders are sent according to the delay schedule but are not sent once the invoice is fulfilled.

The tooltips under the receipt titles of the Invoice Reminders will tell you when each reminder is scheduled to send.

Enabling/Disabling the Invoices for Recurring Donations

If a recurring donor who has chosen to be invoiced no longer wishes to be notified each time a recurring payment is due, you can disable recurring invoices in the Recurring Payments area of the org-level control panel.

Just click the green Enabled link in the Receipts column for the donor.

To re-enable a disabled recurring invoice, click the red Disabled link.

You can also enable or disable invoices by clicking the transaction ID for the recurring gift, and then using this toggle on the Recurring Details screen.

Note: If you turn off recurring invoices, donors will still receive emailed notifications if there's an issue with their payment or if their recurring gift is scheduled to end soon.
