Manage Your Events in Kindful Fundraising

After you create events in Kindful Fundraising, manage them on the Events page. Gain insights into money raised, ticket sales, and attendees. You can also edit the event settings.

Manage Events

On the Events page, click Actions next to your event, and then click Manage.

On the Manage page, view this information:

Overview

On the Overview page, view the amount of money raised and the number of tickets purchased by ticket type.

Orders

On the Orders page, view a list of all ticket orders and this information:

  • Ticket Buyer

  • Order Date

  • Ticket Status — Paid in Full or Refunded

  • Ticket Amount — Total ticket amount including processing fees. Refunded amounts are yellow and appear in parentheses.

  • Donation Status — Paid in Full, No Donation, or Refunded

  • Donation Amount — Total donation amount including processing fees. Refunded amounts are yellow and appear in parentheses.

Order Summary

To see the ticket order summary, including any refunds, click Details next to that order.

To refund a paid event ticket or additional donation on the ticket order, go to the constituent's timeline in Bloomerang CRM. For more information, read Refund a Kindful Fundraising Transaction.

After you refund the ticket or donation, return to Kindful Fundraising. On the order summary, click Mark as Refunded next to the ticket, donation, or both. Refunds appear on the order summary in yellow and in parentheses.

For orders with only free tickets, click Cancel Tickets to add tickets and attendees back to the remaining amount. Attendees are removed from the Attendees list and .CSV file.

Attendees

On the Attendees tab, see a list of people who registered for the event. For each attendee, you can see the ticket buyer, ticket type, and whether they checked in for the event.

To see the contact information for each attendee, click Expand. To edit the attendee’s contact information, click Edit. Any changes you make appear automatically in the constituent’s record in Bloomerang CRM after a few minutes.

If an attendee checked in to the event, select Checked In. When you select Checked In, an interaction is added automatically to the constituent’s timeline in Bloomerang CRM after a few minutes.

To filter the attendees list, select an option from the drop-down list:

  • All Attendees

  • Checked In

  • Not Checked In

To search for an attendee or ticket buyer, type a name in the text box.

You can also download a .CSV file that contains attendee data. You can use this file as a starting point for an import to add attendee information to Bloomerang CRM.

If you refund a ticket, that attendee no longer appears on the Attendees list or in the .CSV file.

Settings

Use the Settings tab to edit your event. Change any of the details you set up in steps 1 through 5.

The Communication menu is where you can set notifications and ticket buyer confirmation email settings. It’s recommended you set these up before sharing your event.

Set the Registration Notification Emails sent to field to include email addresses for the person or people from your organization that you would like to receive notifications when tickets are sold.

Customize the Ticket buyer confirmation email. This is the email that is automatically sent to the Ticket Purchaser when tickets are purchased for the event.

Click Save to finish setting up your communication settings for the event, or Discard Changes if you would like to reset and edit again.

View your event by clicking View Public Page. Copy the URL from this page to share your event online.

Close Ticket Sales to an Event

Close ticket sales when you have sold all of your tickets or reached the date in time that you’d like to stop selling tickets.

On the Events page, click Actions next to your event, followed by Manage. Then click the Settings tab.

Click Ticket Types, then toggle Ticket is visible to the public for each of your ticket types to Ticket is not visible to the public. The ticket options will no longer be available on your hosted event page.

If you’d like to add a message explaining that the event has closed, click Event Sign Up Page and update the Event description.

Archive an Event

It is possible to archive an event, but only recommended when you need to fully remove it from the Events page. For example, you may create a test event that is not relevant to your fundraising efforts, and you want to see it fully removed.

On the Events page, click Actions next to your event, and then click Archive.

Click Archive to confirm or Cancel to exit.

If you choose to archive an event:

  • The public event page URL is no longer active. Users are redirected to your Main Donation Page and see a message that the event is no longer active.

  • The event is removed from the list on the Events page.

  • The Manage page for the event is no longer active. Admins see a message about this if they try to go to the URL.

  • Existing transactions and constituents created through the events registration flow remain.
