User Permissions

User permissions control what users can do in Bloomerang CRM. Bloomerang CRM has two types of user accounts:

  • Admin Full access to everything in Bloomerang CRM and the mobile app

  • Standard — Limited access, which admins can customize

User permissions apply to:

  • Bloomerang CRM web application

  • Bloomerang CRM mobile app

Some permissions control access to features and settings that exist only in the web application.

Important: Make sure your staff and volunteers upgrade to the most recent version of the Bloomerang CRM mobile app. In old versions of the mobile app (v23.11.3 or lower), user permissions do not apply to the mobile app, which means mobile app users with old app versions have unrestricted permissions.

In this article:

Admin Permissions

Admin (administrator) users have full access to everything in Bloomerang CRM and may:

  • Access the main Settings page

  • Customize the Donor Retention filters

  • Access the Billing & License page

  • Access the Duplicate Constituents page

Admins may also add new standard users, edit the permissions of any standard user, change the user type from standard to admin, and edit other standard user settings.

Default Standard User Permissions

When you create a new standard user, that user has these default permissions:

  • Transactions — View and Edit All

  • Access — Home, Reports, Data Tools, Communications, Emails and Journey Automation, Letters

  • Edit — Constituents, Reports

If you keep these default permissions, this standard user can:

  • Add, edit, view, and delete constituents

  • Review and merge duplicate constituents

  • Add, edit, view, and delete groups, add members to groups, and remove members from groups

  • Add, edit, view, and delete transactions

  • Add, edit, view, and delete acknowledgements, soft credits, fundraisers, tributes, and attachments within transactions

  • Add, edit, view, and end membership schedules

  • Add, edit, view, copy, and delete reports

  • Assign, reassign, and remove relationship managers

  • Import data

  • Bulk update campaigns, appeals, and funds in transactions

  • Bulk delete constituents, tasks, transactions, interactions, and notes

  • Switch between the default and custom view of the Donor Retention wheel after custom filters are set

  • Create, edit, and deactivate forms and tributes

  • Create, edit, send, and deactivate emails and letters

  • Create and manage automations in Journey Automation

By default, standard users cannot:

  • See Settings in the main navigation or open the Settings page

  • See Kindful Fundraising in the main navigation menu or open Kindful Fundraising

Change Standard User Permissions

For security reasons, you might want to limit what certain users can do in Bloomerang CRM. For example, you might have volunteers who help with data entry. To prevent access to sensitive financial and personal information about donors, you can grant each volunteer more restrictive permissions. To change the permissions of a standard user, your user account must have the Admin User permission.

Permission changes take effect as follows:

  • Web application — Changes take effect when the user refreshes the screen or load a different page

  • Mobile app — Changes take effect when the user force quits and reopens the app, taps Log Out, or keeps the app backgrounded more than a few minutes (which requires the user to authenticate again)

Transaction Permissions

When you create a new standard user, the View and Edit All transaction permission is selected by default.

Transaction Permission

If you select this permission, this standard user…

View and edit all

  • Can add, edit, view, and delete all transactions

  • Can add, edit, view, and end all memberships

View only

  • Can view transactions, but cannot add, edit, refund, or delete any transactions

  • Can view:

    • Dashboard analytics on the Home, Constituents, and Group Details pages

    • Constituent summary, including the Giving Summary, Generosity meter, and Engagement Level

    • Memberships tile on the Profile page (membership program, level, status, and renewal date)

    • Edit Memberships page (membership schedule, amount, and payment method)

    • Transactions filter and highlights on constituent timelines

    • Soft credits and fundraisers within transactions

    • Year-end giving statements (can view and download)

    • Transaction columns on the Constituents dashboard, Group Details, and Add Member pages

    • Notification bell, which means they are notified about credit card payment failures, duplicate constituents, and billing alerts

    • Activity Feed in the Bloomerang CRM mobile app

  • Can add, edit, delete, and view the tribute and acknowledgement sections within transactions

  • Can add, edit, delete, and view interactions and tasks, including those with a giving-related purpose (Acknowledgement, Pledge Reminder, Receipt, and Solicitation)

View and edit only transactions created by this user 1

  • Can add:

    • New transactions

    • New memberships

    • Interactions and tasks to constituent profiles, but cannot select a giving-related purpose (Acknowledgement, Pledge Reminder, Receipt, and Solicitation)2

  • Can view, edit, refund, and delete only transactions this user creates

  • Can view, edit, end, and delete only membership schedules that this user creates

  • Can view:

    • Memberships tile on the Profile page (membership program, level, status, and renewal date) for any memberships

    • The Edit Memberships page (membership schedule, amount, and payment method) for only memberships that this user creates.

  • Cannot view:

    • Transactions or transaction-related information that others create

    • Dashboard analytics on the Home, Constituents, and Group Details pages

    • Transactions filter or highlights on constituent timelines

    • Constituent summary, including the Giving Summary, Generosity Details, and Engagement Level

    • Giving statements (cannot view or download)

    • Transaction columns on the Constituents dashboard, Group Details page, and Add Member pages

    • Interactions and tasks with a giving-related purpose (Acknowledgement, Pledge Reminder, Receipt, and Solicitation)

    • Notification bell, which means they are not notified about credit card payment failures, duplicate constituents, or billing alerts.

No access 1

  • Cannot add, edit, delete, or view any transactions

  • Cannot add, edit, end, or view any membership schedules

  • Cannot view:

    • Constituent summary, including the Giving Summary, Generosity Details, and Engagement Level

    • Edit Membership page (membership schedule, amount, and payment method)

    • Giving statements (cannot view or download)

    • Transaction columns on the Constituents dashboard, Group Details page, and Add Member pages

    • Interactions and tasks with a giving-related purpose (Acknowledgement, Pledge Reminder, Receipt, and Solicitation)

Can view:

  • Memberships tile on the Profile page (membership program, level, status, and renewal date) for any memberships

Can add:

  • Interactions and tasks to constituent profiles, but cannot select a giving-related purpose (Acknowledgement, Pledge Reminder, Receipt, and Solicitation)2

1. This permission affects application area permissions. A standard user with this permission cannot access Home, Reports, Data Tools, Communications, Emails, Letters, and Journey Automation application areas. This user first sees the Constituents page when logging in to the web application and the mobile app.
2. A standard user with this permission cannot see tasks with giving-related purposes but continues to receive task notification emails. If this user didn’t confirm their email address or turned off task notification emails, an administrator can create and schedule a report that shows tasks assigned to this user.

Note: Bloomerang CRM previously included a standard user permission named Transactions. If you previously selected the Transactions checkbox for a user, that user now automatically has the View and edit all permission. If you previously cleared the Transactions checkbox for a user, that user now automatically has the View only permission.

Application Access Permissions

When you create a new standard user, the Home, Reports, Data Tools, Communications, Emails and Journey Automation, and Letters permissions are selected by default.

Application Access Permission

If you remove this permission, this standard user…

Home

  • Sees the Constituents page when they first sign in to Bloomerang CRM or when they click the Bloomerang logo

  • Does not see Home in the navigation menu and cannot access the Home page

In the mobile app, this standard user:

  • Sees the Constituents page when first logging in

  • Does not see the Home option in the navigation menu

Reports

  • Does not see Reports in the navigation menu

  • Cannot access the Reports page

  • Cannot view any reports in the Home > Recent Reports widget

  • Receives scheduled report emails but cannot view reports in Bloomerang CRM

Data Tools

  • Does not see Data Tools in the navigation menu

  • Cannot access the Imports, Bulk Updates, Bulk Delete, or Merge Constituents pages

Communications

If you clear the Communications checkbox, this user:

  • Does not see Communications in the navigation menu

  • Cannot access the Emails, Journey Automation, Letters, Tributes, or Forms pages.

If you select Communications and select Emails and Journey Automation, this user can access the Emails and Journey Automation pages.

If you select Communications and select Letters, this user can access the Letters page.

If you select Communications and clear the Emails and Journey Automation checkbox, Letters checkbox, or both, this user:

  • Can still access the Tributes and Forms pages

Information Edit Permissions

When you create a new standard user, the Constituents and Reports permissions are selected by default.

If you remove this permission, standard users…

Constituents

  • Can view all existing constituent information

  • Cannot add, edit, or delete constituents

  • Cannot create or edit relationships and households

  • Cannot add, edit, or delete groups, add group members, or remove group members

  • Cannot assign, reassign, or remove relationship managers, but can view relationship managers in the constituent account header

  • Cannot access the Imports page

  • Cannot view generosity data DonorSearch

Reports

  • Can view a list of existing reports but cannot create new reports or folders, edit folders, or move reports into folders

  • Can open reports and view top-level filters and results

  • Cannot add, edit, or delete filters, columns, and details

  • Cannot schedule or reschedule reports
