Email Year-End Giving Statements (Tax Summaries)

Each January, email year-end giving statements to your constituents. Giving statements include a tax summary for monetary donations and sections for other types of support (in-kind donations, volunteer hours, and soft credits). To learn what giving statements are and what information they include, read About Year-End Giving Statements.

This article explains how to:

  • Send a mass email to multiple constituents. The email includes a link to the constituent’s unique giving statement.

  • Download a giving statement for an individual constituent. After you download the statement, you can email it outside of Bloomerang CRM.

Tip: To mail a letter rather than send an email, read Mail Year-End Tax Receipt Letters. A letter is a good option for donors without a valid email address in Bloomerang CRM.

Before You Begin

Before you send giving statements, decide whether to customize them. Your organization's name and address appear at the beginning of each giving statement. To change this information, update your organization settings.

You can also:

  • Add or change your logo.

  • Enter or update your EIN.

  • Exclude soft credits and volunteer hours. By default, soft credits and volunteer hours are included.

To manage your logo and EIN, and to change whether soft credits and volunteer hours appear, update your giving statement settings.

Send a Giving Statement in a Mass Email

Send a mass email to your constituents that includes a link to their giving statement. Constituents click the link to download a PDF.

The link always generates the latest version of the giving statement. For example, you email a giving statement to a constituent, but you later add donations for the previous calendar year. If the constituent clicks the same link again, the giving statement automatically includes those donations. The giving statement link never expires.

To send a giving statement mass email:

  1. In the email settings, from the Purpose drop-down list, select Receipt.

  2. From the Type drop-down list, select Transaction if it’s not already selected. To confirm the change, click Change Type.

  3. To add a giving statement link in the email, click Design.

  4. Click a paragraph block in the email message. The editor toolbar appears.

  5. Click Insert Merge Field.

  6. Select Prior-Year Giving Statement.

  7. Click Insert Field. The merge field appears in your email.

  8. To preview the layout, click Preview Layout. When you preview, merge fields appear in curly brackets.

  9. To build the recipient list, click Recipients and add filters. Read about how to filter emails.

  10. To preview the design and populated merge fields, click Save And and select Preview.

  11. To preview the recipients list, click Recipients. Bloomerang CRM automatically skips constituents who don't have a valid email address. You might be able to fix some email addresses.

  12. Click Send and then click Send Now or Schedule for Later. Bloomerang CRM sends you an email that confirms your mass email is sending.

When a donor receives your email, they click the year-end giving link, which opens this page:

The giving statement PDF downloads automatically. The donor can also click the Giving Statement link to download the PDF.

Download a Giving Statement for a Constituent

You can also download a giving statement from a constituent profile. You might do this to send a giving statement to an individual constituent upon request.

When you click to download the giving statement, a PDF file downloads to your computer. Attach the PDF file to an email message in your preferred email application.

Important: The downloaded PDF file is a snapshot of the constituent’s giving statement at time you downloaded the file. If you later add donations for the constituent that apply to the previous calendar year, download an updated version of the PDF file for the constituent.

To download a giving statement:

  1. Search for a constituent.

  2. On the constituent account page, click Profile.

  3. In the Giving Statements section, click a giving statement for a calendar year. A PDF file downloads to your computer.

  4. On your computer, find the PDF file that you downloaded.

  5. To review the giving statement, open the PDF file in your web browser or a PDF reader.

  6. To email the giving statement to the constituent, attach the PDF file to an email message in your preferred email application.
