Bulk Delete Constituents

Use the Bulk Delete tool to permanently delete multiple constituents at the same time.

You might do this as part of routine data cleanup and maintenance. For example, you might decide to remove:

  • Duplicate constituents

  • Lapsed donors who have not given for certain number of years

  • Constituents without donations and engagement (no transactions, no interactions, and no notes)

  • Constituents without contact information (no address, no email address, and no phone number)

  • Constituents entered incorrectly

  • Constituents entered for testing or training

To bulk delete constituents, you must be:

  • An Admin user, or

  • A Standard user with Data Tools, Edit Constituents, and Edit Transactions permissions.

Deleting a household deletes all constituents in that household from Bloomerang CRM. For example, if you delete a household that includes four constituents, you also delete those four constituents.

Warning: This tool permanently deletes households, constituents, and all associated data (transactions and items that appear on the constituent profile and timeline). You cannot restore deleted households, constituents, or associated data. Constituents who are within an automation exit that automation when you delete the constituent account.

Best Practices

The Bulk Delete tool can save you time, but use it with care.

Before you use the Bulk Delete tool, export and download your data. We recommend this step so you have a copy of the data for your records. Keep in mind that you cannot undo a bulk delete. For information about how to export your data, see Export Bloomerang CRM Data.

If you plan to delete constituents who have no transactions, consider these questions:

  • Do you want to delete only individuals?

  • Do you want to delete household members who have no transactions, but who are members of a household with transactions?

  • Do you want to delete an entire household if no household members have transactions?

Tip: To help plan which constituents to delete, create a new constituent report. This optional step helps you refine which filters to use to generate the constituent list. For extra help with filtering, email [email protected]. When you run the Bulk Delete tool, you can use the report to generate the list of constituents to delete.

Bulk Delete a List of Constituents

To bulk delete constituents:

  1. Click Data Tools.

  2. On the Bulk Delete tile, click Edit.

  3. Click New Bulk Delete.

  4. From the drop-down list, select Constituents.

  5. Click Select.

  6. From the Filters drop-down list, select Household or Constituents. By default, the list is filtered by Household.

  7. To specify which constituents to delete, add Include filters, Exclude filters, or both. See Report Basics: Add Filters.

    Tip: You can also use a saved report to generate the list of constituents to delete. See Use Filters from Another Report.

  8. To edit the default Exclude filter, click the filter box. By default, these Bloomerang-managed groups appear in an Exclude filter: Current, New, Retained, Recaptured, and Recurring.

  9. Click OK. Households or constituents matching your filter criteria appear.

  10. To permanently delete the households or constituents that appear in the list, click Delete.

  11. To confirm, click Delete again. The Deleted Records page opens and shows the status of the bulk delete and the number of deleted records.

    Tip: You can leave this page while the bulk delete runs. You cannot run multiple bulk deletes at the same time.

  12. To see a list of constituents that you deleted, Click to Download a .CSV file.

  13. Open the .CSV file in your preferred spreadsheet application. The file includes the Full Name, Address, Account Number, and Household Name for deleted records.
