Bulk Delete Transactions

Use the Bulk Delete tool to permanently delete multiple transactions from Bloomerang CRM at the same time.

You might decide to delete a large list of transactions to clean up your data. For example, you might bulk delete transactions in these cases:

  • Your organization previously tracked gifts inconsistently.

  • To update transactions, you imported rather than used the Bulk Update tool, which caused duplicate transactions.

To bulk delete transactions, you must be:

  • An Admin user, or

  • A Standard user with both Data Tools and Edit Transactions permissions.

When you use the Bulk Delete tool, keep in mind the following:

  • You can delete a transaction that is synced with QuickBooks Online. The record in QuickBooks is not deleted or altered when you delete the transaction with the Bulk Delete tool.

  • If you try to delete a pledge or recurring donation schedule, but your filters don't include all of the existing payments for that pledge or schedule, the Bulk Delete tool skips that pledge or schedule. After the bulk delete completes, you can see whether any transactions were skipped, and how many were skipped.

  • Transactions that you bulk delete are not refunded.

  • If you delete a transaction with an associated acknowledgement interaction, the interaction is not affected.

Warning: This tool permanently deletes transactions and transaction attachments. You cannot restore deleted transactions and transaction attachments.

Best Practices

The Bulk Delete tool can save you time, but use it with care.

Before you use the Bulk Delete tool, export and download your data. We recommend this step so you have a copy of the data for your records. Keep in mind that you cannot undo a bulk delete. For information about how to export your data, see Export Bloomerang CRM Data.

Tip: To help plan which transactions to delete, create a new transactions report. This optional step helps you refine which filters to use to generate the transactions list. For extra help with filtering, chat or email our Support team. When you run the Bulk Delete tool, you can use the report to generate the list of transactions to delete. Bulk Delete a List of Transactions

To bulk delete transactions:

  1. Click Data Tools.

  2. Click Bulk Delete.

  3. Click New Bulk Delete.

  4. From the drop-down list, select Transactions.

  5. Click Select.

  6. To specify which transactions to delete, add Include filters, Exclude filters, or both. See Report Basics: Add Filters. By default, these fields appear in the Exclude filter: Pledge Status in Good Standing and Is a Specific Recurring Donation Schedule: Schedule Status is Active.

    Tip: You can also use a saved report to generate the list of constituents to delete. See Use Filters from Another Report.

  7. Click OK. Transactions matching your filter criteria appear.

  8. To permanently delete transactions that appear in the list, click Delete. A confirmation message appears.

  9. Click Delete. The Deleted Records page opens and shows the status of the bulk delete and the number of deleted transactions.

    Tip: You can leave this page while the bulk delete runs. You cannot run multiple bulk deletes at the same time.
