How do I track Group Attendance?

You can track group attendance by using the General Check-in or Shift Check-in features on the Bloomerang Volunteer web and mobile apps.

Group-related reports calculate the total hours worked by group, and include time-stamped activity logs. To download group-related reports for an opportunity:

  1. If you are in more than one organization, make sure you are in the right one.

  2. From the navigation menu, click Opportunities.

  3. Select an opportunity, or use the search box to find and select an opportunity.

  4. In the opportunity menu, click Reports.

  5. In the Reports: Hours Worked section, click the drop-down list, and then select Hours Worked by Group.

  6. Click Download for the Hours Worked by Group or Shifts Worked by Group report.

Track Attendance for Account-Based Groups

When an Account-Based group member checks in to their shift or checks into the Opportunity, the Bloomerang Volunteer interface behaves as normal with no additional prompts. To get detailed hours-worked reports and activity logs for Account-Based Groups, click Reports in an opportunity, and then click Download next to the report or log that you want to generate.

Track Attendance for Number-Based Groups

When a number-based group leader checks into a shift or opportunity, or when they are checked in by a manager, Bloomerang Volunteer prompts them to enter the total number of group members. The number of checked-in group members can be changed later. The total number of check-ins for the group for any given shift cannot be higher than the total number of scheduled volunteers in the group for that shift.

Change the Number of Group Members in a Number-Based Group

If you need to check in more group members than a number-based group allows, you can change the number of members in the group.

  1. If you are in more than one organization, make sure you are in the right one.

  2. From the navigation menu, click Opportunities.

  3. Select an opportunity, or use the search box to find and select an opportunity.

  4. In the opportunity menu, click People, and then click Groups.

  5. Click the title of the number-based group that you want to edit.

  6. On the Group Details page, change the number in the Total Volunteers Committed setting.

  7. Click Done.

View the Current Number of Members that are Checked In Using List View

When you use List View to check volunteers in or out, the number of volunteers that are currently checked in displays in the Group Volunteers Currently Checked-in column. To enable this column:

  1. Enable General Check-In for the opportunity.

  2. In the opportunity menu, click People, and then click Volunteers.

  3. If the Group Volunteers Currently Checked-in column is not enabled, do the following:

    1. Click Select the columns you want to display and hide Columns icon..

    2. In the General Check-In section, select Group Volunteers Currently Checked-in.

    3. Click Apply.
