To help you maintain the health and quality of your data, Bloomerang CRM automatically notifies you about possible duplicate constituents. If you determine constituents are duplicates, you can merge them. You can merge one or multiple pairs of constituents at the same time.
If the constituents aren’t duplicates, you can:
Mark the constituents as Not Duplicates.
Add the constituents to a new household.
Tip: This article describes how to manage duplicates on the Duplicate Constituents page. You can also merge two individual constituents when you view a constituent’s profile.

Bloomerang CRM scans for possible duplicates when you create, delete, or merge constituents, or when you edit names or contact information. To determine whether some constituents might be duplicates, Bloomerang CRM compares several fields:
Name
Address
Email
Phone Number
An individual constituent and an organization can be a duplicate pair. You can merge an individual constituent and an organization, but only on the Duplicate Constituents page. You can't merge an individual constituent and an organization on a constituent account page.
Constituents in the same household are not considered possible duplicates, even if they have the same name, address, email, or phone number.
What data is merged?

When you merge accounts, information from the merged account (labeled as the Merge This One account) is added to the kept account (labeled as the Keep This One account):
Contact
Timeline
Credit card
Relationships
Groups
Memberships
DonorSearch batch screening data
Journey Automation participation
If both accounts have:
X (Twitter) handles, the handle from the Keep This One account is kept, but the merged constituent's timeline includes tweets from both X handles.
Custom profile pictures, the custom profile picture from the Keep This One account is kept, and the profile picture from the Merge This One account is deleted.
Interactions from the same email, the interaction from the Keep This One account is kept.
DonorSearch batch screening data, only data from the Keep This One account is kept.
Different relationship managers, the relationship for the Keep This One constituent is kept.
If you merge an individual constituent and an organization:
The account type from the Keep This One account remains. For example, if the Keep This One account is an organization, the account remains an organization after the merge.
If the Keep This One account is an organization, the merged individual fields become the primary contact info if there isn't already primary contact info.
If the Keep This One account is an individual, the organization name from the Merge This One account becomes the employer if there isn't already an employer.

Bloomerang-managed groups automatically recalculate after you merge the constituents. For Bloomerang-managed groups, the constituent’s group memberships might change based on this recalculation. All groups that your organization manages remain unchanged.

If you merge constituent accounts, and one of the accounts was within an automation, Bloomerang CRM checks whether the constituent still qualifies to be in that automation.
The details:
If you merge a constituent within the First Ever Donation automation with a constituent who has previously donated, the constituent exits the First Ever Donation automation.
If you merge two current donors who are in the same type of donation automation (same entry source), the constituent remains within the automation they’ve been in the longest.
If you merge two current donors who are in different types of donation automations (different entry sources), the constituent remains within the automation they’ve been in for the shortest amount of time.
Review Possible Duplicates
To review possible duplicates:
At the top right of any page in Bloomerang CRM, click the Notifications button
.
Tip: You can also select Data Tools > Merge Duplicates.Select You Have Possible Duplicates. The Duplicate Constituents page opens.

Click Show More Details.
Note: You can't select Show More Details if any duplicates are selected.To decide later whether the constituents are duplicates, click Cancel. Bloomerang CRM continues to notify you that the constituents are possible duplicates.
If the constituents are duplicates, select the account to keep and then click Merge. For detailed instructions, go to the Merge Duplicate Constituents section on this page.
If the constituents aren’t duplicates, you can do one of the following:
Click Not a Duplicate. For detailed instructions, go to the Mark Constituents as Not Duplicates section on this page.
Click Create Household and add the constituents to the household you create. For detailed instructions, go to the Add a Constituent Pair to a Household section on this page.
To hide the notification:
Click the Notifications button
.Click Hide.
Select For 1 Hour, Until Next Login, or Always.
Mark Constituents as Not Duplicates
If you determine constituents are not duplicates, you can:
Mark a single pair of constituents as Not Duplicates
Mark multiple pairs of constituents as Not Duplicates
After you mark constituents as Not Duplicates, Bloomerang CRM no longer notifies you that the constituents are possible duplicates.
To mark a single pair of constituents as Not Duplicates:
If you’re sure the constituents are not duplicates, select the checkbox next to the constituent pair and click Not Duplicates.
If you need more information to determine whether the constituents are duplicates, click Show More Details. If the constituents are not duplicates, click Not a Duplicate.
To mark multiple pairs of constituents as Not Duplicates:
If you need more information to determine whether any constituent pairs are duplicates, click Show More Details. To return to the Duplicate Constituents list, click Cancel.
Do one of the following:
Select the check box next to pairs that are not duplicates.
Select Select all on Page. You can deselect the check box next to pairs that are duplicates.
If you have more than 10 possible duplicates, click a page number to select possible duplicates on other pages. Possible duplicates that you selected on other pages remain selected.
Click Not Duplicates.
Merge Duplicate Constituents (Single Pair)
To merge a single pair of duplicate constituents:
Click Show More Details.
For the constituent that you want to keep, select Keep this Account.
Field values that will be added to the kept constituent appear in green. Field values that will be deleted from the merged constituent appear in red. Field values in black remain the same.
Click Merge.
To merge the constituents, click Yes.
Tip: To merge constituents who aren’t on this list, open the constituent record for one of the constituents. See Edit, Merge, and Delete Constituents.
Merge Duplicate Constituents (Multiple Pairs)
To merge multiple pairs of duplicate constituents at the same time:
To select duplicates to merge, do one of the following:
Select the check box next to pairs you want to merge.
Select Select all on Page. You can deselect the checkbox next to pairs that are not duplicates.
If you have more than 10 possible duplicates, click a page number to select duplicates on other pages. Duplicates that you selected on other pages remain selected.
Click Merge Selected.
Add a Constituent Pair to a Household
If individual constituents appear on the Duplicate Constituents page, but they aren’t duplicates and should be household members, you can add them to a new household. You can do this without leaving the Duplicate Constituents page. Both constituents must be individuals who aren’t already in a household.
Bloomerang CRM creates the household and adds the constituents at the same time. The constituent who appears in the first column on the Duplicate Constituents page becomes the Head of Household. After Bloomerang CRM creates the household, you can change the Head of Household.
To add constituent pairs to a household from the Duplicate Constituents page:
Click Show More Details.
Click Create Household.
Enter the Household Name.
Click in any other field. The household name that you entered automatically appears in each field.
To change a field, click it and enter your changes.
Click Save. Bloomerang CRM creates the household and returns you to the Duplicate Constituents page. This constituent pair no longer appears on the Duplicate Constituents page.
