You can view, manage, and report on emails included in your automations.

View and Manage the List of Automation Emails

You can view the list of all automation emails created by everyone in your organization. The list includes:

  • Active and inactive emails

  • Sent and unsent emails

  • Emails in running, draft, and archived automations

If an automation has sent an email at least once, you can also view tracking statistics for that email. These statistics include data for all recipients and are cumulative. Each time the automation sends the email, the statistics update.

To determine which constituents received an automation email, you can run a report.

To view a list of all automation emails:

  1. Click Communications.

  2. Select Emails.

  3. Click Show More Filters.

  4. From the Users drop-down list, select Journey Automation.

  5. To filter the list more, select other filters. For example, you can select filters for email purpose, status (Active, Inactive, and Sent), and more. The Scheduled status doesn’t apply to automation emails.

Manage Automation Emails

Within each automation, you can:

If you replace an email or delete an action, you select what to do with the original email:

  • Keep in Emails — Keep the email in the Communications > Emails list and leave it marked as active

  • Deactivate Email — Keep the email in the Communications > Emails list, but mark it as inactive

  • Delete Email — Delete the email from the Communications > Emails list. This option appears only if the email is unsent.

You can later deactivate or delete automation emails from the Communications > Emails list. You might do this to keep your email list tidy.

To deactivate or delete emails that no longer appear in automations:

  1. Click Communications.

  2. Select Emails.

  3. (Optional) To view only Journey Automation emails in the list:

    1. Click Show More Filters.

    2. From the Users drop-down list, select Journey Automation.

  4. Next to the email, click Action.

  5. Select Deactivate or Delete. You can delete an automation email only if it's unsent.

View Individual Sent Emails

When you view a constituent’s account, you can view emails they received from an automation.

  1. Click Timeline.

  2. Click the Interactions filter.

  3. Look for email interactions with the channel “Mass Email.” If the email was an acknowledgment, look for “Acknowledgement” followed by the email subject.

  4. To open an email interaction, click it.

  5. To view the email contents, in the Generated Email section, click the email link.

  6. To determine whether the constituent interacted with this email, go to the Email Tracking Stats section.

  7. To verify this email was sent by an automation, go to the end of the interaction page. The Created timestamp includes the words “Journey Automation.” The date and time reflect when the automation sent the email, which happened when the constituent reached that step in the automation

Run a Report for Automation Emails

You can run a report that shows all emails sent to constituents by automations.

To run an automation email report:

  1. Select Reports.

  2. In the Include section, click Add Filter.

  3. Add the Created By filter.

  4. Select Is Equal To.

  5. Enter Journey Automation.

  6. Click OK.

  7. (Optional) Click Add Column and add any columns that help you analyze this data. For example, add the Created By column and email tracking columns such as Is Opened and others.
