About the Donor Retention Wheel

Your dashboard includes a Donor Retention graph. This graph is a color-coded wheel that shows:

  • Number of retained donors

  • Percent of retained donors

By default, the Donor Retention wheel shows you who gave at least once 24 to 12 months ago, then gave again in the past 12 months. If your Bloomerang CRM account has Administrator permissions, you can change the date range and other settings.

You can click one side of the graph to view a Lapsed Donors report. Click the other side to view a Retained Donors report.

How It Works

The retention wheel tells you the number of donors who have given at least once during the two 12-month periods that make up the most recent 24 months:

  • The larger number is donors who gave between 12 and 24 months ago.

  • The smaller number is donors (out of the larger number) who gave again within the most recent 12 months.

The retention wheel operates on a rolling 12 and 24 month cycle. This means it compares the two most recent 12-month cycles and changes every day. If a new donor makes a donation today, that donor isn't factored into the retention wheel until one full year from today. This means one year must pass before a donor can be retained.

The Donor Retention wheel color is green, yellow, or red. The color is based on your retention rate and gives you an at-a-glance understanding of your retention success.

The wheel recalculates to show you fresh data every day.

Constituents

The Donor Retention Wheel includes constituents who are active. It excludes inactive and deceased constituents.

The Donor Retention Wheel is calculated based on household:

  • For constituents who are in households, their donor retention will be calculated using transactions on the household.

  • For constituents who are not in households, their donor retention will be calculated using transactions on their individual constituent account.

Transactions

The Donor Retention wheel factors in donations, pledges, pledge payments, and recurring donation payments.

These transactions are excluded:

  • Transactions that have a $0 amount, unless the method is In Kind.

  • Transactions that have a $0 deductible amount.

  • Transactions that have been refunded.

  • Pledges that have been fully written off.

View Lapsed Donors

To use the Donor Retention wheel to view a list of lapsed donors:

  1. Click Home.

  2. Go to the Donor Retention tile.

  3. Click the left side of the circle, which is a lighter color than the right side. The New Report page opens.
    Tip: If you hover over the left side of the circle, this description appears: "Click to view lapsed donors."

  4. (Optional) Save this report so you can view it from the Reports List.

View Retained Donors

To use the Donor Retention wheel to view a list of retained donors:

  1. Click Home.

  2. Go to the Donor Retention tile.

  3. Click the right side of the circle, which is dark green. The New Report page opens.
    Tip: If you hover over the right side of the circle, this description appears: "Click to view retained donors."

  4. (Optional) Save this report so you can view it from the Reports List.

Customize Your Donor Retention Filters

If your Bloomerang CRM account has Administrator permissions, you can customize the Donor Retention wheel filters.

Donor Retention wheel filters affect the qualifying transactions for Engagement Surveys and First-Time Donor Calls.

To customize donor retention filters:

  1. Click Home.

  2. Go to the Donor Retention tile.

  3. Click View Custom Retention Right arrow icon.

  4. Click Edit Custom Retention Edit Custom Retention icon.

  5. To exclude funds, click Excluded Funds and select one or more funds.

  6. To exclude campaigns, click Excluded Campaigns and select one or more funds.

  7. To exclude appeals, click Excluded Appeals and select one or more appeals.

  8. To exclude transactions that don't have a campaign, select Excluded Campaigns and then select Transactions Without Campaigns.

  9. To exclude transactions that don't have an appeal, select Excluded Appeals and then select Transactions Without Appeals.

  10. To include a fund, campaign, or appeal that is currently excluded, click it.

  11. To change the date range:

    1. Click Date Range.

    2. Select Rolling Year, Fiscal Year, or Calendar Year.

  12. To include soft credits, select Include Soft Credits.

  13. Click Save.

Switch Between Default and Custom View

If you customize the Donor Retention filters, the Donor Retention wheel shows two views:

  • Default retention

  • Custom retention

Standard users and Administrators can switch between these views.

To switch between the default and custom retention views:

  1. Click Home.

  2. Go to the Donor Retention tile. By default, the default retention view appears.

  3. To your custom retention view, click View Custom Retention View Custom Retention icon.

  4. To go back to the default view, click View Default Retention View Default Retention.

Remove Custom Settings

To remove the custom settings:

  1. Click Home.

  2. Go to the Donor Retention tile.

  3. Click View Custom Retention View Custom Retention icon.

  4. Click Edit Custom Retention Edit Custom Retention icon.

  5. Click Delete Delete icon.

  6. Click Delete again.
