Use the AI Content Assistant

The AI content assistant is an optional tool you can use to help draft and refine the emails you send to your constituents. You can use it to suggest or tune headlines, body copy, or calls to action to save time creating emails that resonate with constituents and donors.

Note: The human touch remains irreplaceable. Your unique perspective, understanding of your audience, and creative spark are what bring your content to life. AI-generated content can provide a start or solid foundation, but it can't replicate the expertise, emotional connection, or cultural sensitivity you bring to the table.

About the AI Content Assistant

You Are in Control

The AI content assistant is just that, an assistant. You control:

  • When to ask for help from the AI content assistant.

  • What copy is sent to the AI content assistant.

  • Whether to apply the AI content assistant’s suggestions to your final version.

No information is sent to the AI content assistant unless you click Write with AI, and only the copy from the selected content block is sent.

Note: The AI content assistant has no access to your constituent information or database.

Human Review is Essential

Just like a human, AI can make mistakes, provide incorrect information, or miss on things like tone, cultural sensitivity, or humor. It is essential that a person reviews all AI-generated suggestions before applying them to your email.

Make sure your process includes a thorough review of:

  • Facts and accuracy

  • Voice and tone

  • Audience appropriateness

  • Biased or non-inclusive language

Tip: Be especially careful with facts or statistics the AI content assistant provides. AI often sounds confident in its answers or responses, but AI can be both confident and wrong. Make sure you fact check everything with current and known reputable sources.

Data Privacy and Safety

The AI content assistant is only able to access the information you provide to it directly and explicitly. It does not collect information on its own. Do not enter any personal or sensitive information about yourself, your constituents, your organization, or others.

The AI content assistant uses industry standard generative AI tools, which include filters that avoid providing results with inappropriate or other Not Safe For Work (NSFW) content.

When you click Write with AI to start a conversation with the AI content assistant, the information shared during that conversation remains within that conversation. It is not shared or used beyond that single interaction and it is not used for further AI training.

Use the AI Content Assistant

The AI content assistant is available for the following types of content blocks:

  • Title

  • Paragraph

  • List

  • Button

Use the AI content assistant to:

  • Generate ideas when you’re not sure where to start.

  • Refine and optimize your ideas or draft.

The steps we recommend for each scenario are slightly different.

When you are working with the AI content assistant, the quality of suggestions depends on how your instructions are constructed. See Write Effective Prompts in the AI Content Assistant for more information.

Before You Begin

To access the AI content assistant, follow the instructions in Create and Preview Emails to create a new email.

Tip: If the Write with AI button isn’t displayed, check the content block type and that you’ve selected the intended block. In the Design area, hover over the block where you’d like to use the AI content assistant.

  • If the block type is Title, Paragraph, List, or Button, click within the block to show the Write With AI button.

  • If the block type is anything other than Title, Paragraph, List, or Button, Write with AI is unavailable.

Generate Ideas

The AI content assistant can help you generate ideas if you aren’t sure where to start, have writer’s block, or have writing fatigue.

To access and work with the AI content assistant:

  1. With your new email open, click Design.

  2. From the Content area, click and drag a Paragraph block into the Design area.

  3. Click into the new Paragraph block.

  4. From the Content area, click Write with AI.The AI assistant opens and provides a few preset suggestions on how to start.

  5. Enter a prompt to get started. See Write Effective Prompts in the AI Content Assistant for information on working with the AI content assistant.

  6. Continue interacting with the AI content assistant until you are satisfied with the result. You can:

    1. Click Regenerate to run the prompt again. The response can be different even when repeating the same instructions.

    2. Enter additional instructions and click Generate to refine the previous response.

    3. Click Clear Results to start over.

  7. Click Apply to send text from the AI content assistant to the content block in your email.The AI content assistant sends the text to the content block, where you can add any merge fields or formatting before sending your email.

Refine Your Draft

The AI content assistant can be particularly helpful in refining your draft copy. For example, if you feel like your writing is getting stale and every email you write sounds the same, the AI content assistant can help you with different ways to write.

Some suggestions for refinements include:

  • Spell check.

  • Correct grammar mistakes.

  • Translate to another language.

  • Change tone without changing format.

  • Use active voice.

  • Convert to first person or third person without changing format.

To refine your draft with the AI content assistant:

  1. From the Content area, click and drag a Title, Paragraph, List, or Button block into the Design area.

  2. Click into the new block.

  3. Begin typing your draft into the new block or, if you’ve already drafted your email in a text editor or word processor, paste your draft copy into the new block.

  4. From the Content area, click Write with AI.The AI content assistant prompt window opens and provides preset suggestions for how the AI content assistant can help you refine your draft. These suggestions are not generated by AI.

  5. Click a prompt suggestion from the list or enter your own instruction. See Write Effective Prompts in the AI Content Assistant for help.

  6. Click Generate to submit your instruction to the AI content assistant.

  7. Continue interacting with the AI content assistant until you are satisfied with the result. You can:

    1. Click Regenerate to run the prompt again. The response can be different even when using the same prompt.

    2. Enter additional instructions and click Generate to refine the previous response.

    3. Click Clear Results to start over.

  8. Click Apply to send text from the AI content assistant to the content block in your email.The AI content assistant sends the text to the content block where you can add any merge fields or formatting.

Apply Formatting and Add Merge Fields Last

Enter merge fields and apply formatting after you are done using the AI content assistant.

Formatting

The AI content assistant works with plain text. Text applied from the AI content assistant to a content block is plain text. This means any formatting, including bolding, links, or changing text colors, is removed when you click Apply.

To avoid rework, add formatting to the content block after you have finished working with the AI content assistant.

Merge Fields

Descriptive merge fields pull in information from your constituent database at the time an email message is sent to a constituent. The AI content assistant has no access to your constituent database, so when text containing a merge field is sent to the AI content assistant, the merge field is replaced by a placeholder word:

no-content

For example, if this is your Paragraph block copy that uses the First Name merge field:

Dear First Name,
As temperatures plummet, our beloved penguins face increasingly harsh conditions. Without your help, the bitter cold threatens the very health and survival of these majestic birds.

This is what the AI content assistant receives and uses:

Dear no-content,
As temperatures plummet, our beloved penguins face increasingly harsh conditions. Without your help, the bitter cold threatens the very health and survival of these majestic birds.

When you plan to use the AI content assistant to help write, and also use merge fields in your email, we recommend the following:

  • Place the greeting into its own paragraph block that is separate from other copy. This is a general best practice, but also helps when using the AI content assistant.

  • Use a generic placeholder word in the copy you send to the AI content assistant to represent the merge field.

    • Avoid using identifying information, such as specific full names, as placeholders.

    • For example, in place of name fields, use Donor or Friend instead.
