The AI content assistant is an optional tool you can use to help draft and refine the emails you send to your constituents.

Before You Begin
See Use the AI Content Assistant for more information about the AI content assistant.
Be Specific and Detailed with Instructions
The AI content assistant works best when you are specific and detailed in your instructions. Here are a few suggestions for details to include in your prompts:
Describe the sender. Who is the email coming from? For example, “As the executive director of a nonprofit animal rescue that focuses on placing senior dogs and cats into a permanent home…”
Describe your audience. Who are you writing for? For example, the senior animal pet rescue could include “write for dog lovers passionate about helping senior dogs.”
Explain your goal. For example, solicit recurring monthly donations.
Provide context. For example, if you are following up about an event, include some details about the event that you’d like mentioned.
Give specific directives about:
Voice and tone
Use a friendly and grateful tone with plain language.
Write in a formal yet warm tone that is sincere and engaging.
Write in an authentic and authoritative tone, while still being friendly.
Format
Create a list with three items and a title.
Write a paragraph.
Write in letter format.
Length. Use 50 words or less.
Tip: You can include multiple instructions in one prompt. See Example Prompts for some ideas.
If you didn’t get the perfect text on the first try, you can:
Click Regenerate to tell the AI content assistant to try again with the prompts you already provided. The AI content assistant generates new text each time, so you can get different results even without changes to your prompt.
Enter additional instructions and click Generate to request specific changes or refinements.
Click Apply to send the text the AI generated to the email’s content block and make your own edits.
Use Previous Results to Refine Your Instructions
The AI content assistant can take a previous result and apply new instructions to the copy.
The same principles apply whether you’re writing your initial prompt or refining copy the AI content assistant has provided. If you aren’t getting a result that you like, try giving specific feedback as if you were an editor providing feedback to a human writer. Use the suggestions from Be Specific and Detailed with Instructions for ideas.
Some additional suggestions for refinements include:
Change tone without changing format. For example, “make more friendly” or “make less formal.”
Use active voice.
Convert to first person or third person without changing format.
Example Prompts
The following prompts can help you get started. Make them your own and specific to your organization.
Email Newsletter
Write a paragraph for a monthly newsletter that talks about the huge success of our coat drive where we were able to provide 17 families with new coats just in time for winter. Focus on creating emotional connections with our audience, encouraging them to stay informed and involved with our mission.
Acknowledgment Prompt
Write a personalized email in letter format to a donor acknowledging their contribution to a recent coat drive, expressing gratitude and highlighting the impact it will have on families who need coats in the winter. Write in a formal yet warm tone that is sincere and engaging. Include a line about the donation being tax-deductible. Ask them to subscribe to our quarterly newsletter.
Appeal
Write an appeal email targeted at wealthy donors who have not given in the past year. Let them know we need them without sounding desperate. Encourage them to set up monthly automatic donations. Make the tone authentic and authoritative, while still being friendly.
