[Donation Forms] Offline Donation Import Tool

Updated over 2 weeks ago

If you have a large batch of offline donations to enter that you've recorded elsewhere, you can use our Offline Donation Import Tool.

Please note: You'll need the Giving Essentials or Giving+ package to use the tool. If you haven't added one of those packages to your Bloomerang Fundraising plan, you won't see this option.

To view a quick-start tutorial, click the video below.

Please note: Qgiv by Bloomerang is now Bloomerang Fundraising! This video does not yet reflect the new branding and visual layout of the Bloomerang Fundraising platform. Updates are in progress, so check back soon!

You'll land on the following screen, where you'll see you can upload offline transactions for standard donation forms and peer-to-peer fundraising forms. We'll focus on donation form transactions here. You can read about uploading offline peer-to-peer transactions here.

Example Template and Format Guide

On the Offline Donation Import page, we've provided a CSV template so you can enter all of the necessary data. You can download the template by clicking the Example Template button. A copy of the template is also attached to the end of this article.

Pro tip: The template includes the option to specify whether an offline gift is a Company Donation. The default setting is no. Change this to yes to specify a company donation.

You MUST follow the formatting rules in order for your offline donations to import correctly. You can view the rules by clicking CSV Format Guide on the Offline Donation Import page.

A pop-up will appear that explains what each column in the template requires.

Formatting Tips

Entries are case sensitive. For example, if you enter "Check" instead of "check," you'll receive an error message for that particular import row.

If you want to include custom fields in the CSV, place the Reporting Label (that you entered when creating a custom field) as a column header. You can find the reporting label for a custom field by clicking Edit for the custom field and then scrolling down to Reporting Settings.

Each custom field should be entered as its own column in the CSV. You'll then enter the answer given by the donor.

For the form column, you'll need to obtain the ID of your donation form. You can find this by going to the form-level control panel. The ID is listed just above your form name.

Here's an example of a CSV with an entry ready for uploading. It shows an email has been entered but with the option not to send an email receipt once the donation is imported into Bloomerang Fundraising.

Uploading Your CSV File

When you're ready to upload your CSV, click Choose Files to Upload or drag and drop a file from your computer into the area shown below.

If all donations are successfully imported, you'll receive a confirmation message. If you enter any incorrect information, you'll receive a message letting you know where the error(s) occurred.

The tool checks for duplicate entries based on the unique IDs you enter, so you can re-upload the same CSV once you've fixed any errors.

If you head to your Transactions report and filter by Offline, you'll see the offline donations you just uploaded! You can click the ID number to make edits to the transaction details, if necessary.
