Manage Email Templates

Email templates may need to be updated or deleted. Administrators have the ability to edit or delete an email template at any time.

You can edit or delete email templates in the Template Library.

Edit a Template’s Content

To edit the body of a template that is already in the template library:

  1. Do one of the following:

    1. At the organization level, click Email Communications.

    2. At the opportunity level, click Email Communications .

  2. Click Template Library.

  3. In the Template Library, use any of the following methods to find a template:

    1. Use the search box to find templates by keyword.

    2. Use the View drop-down list to filter the search results.

    3. Use the Folders drop-down list to view the templates that are in a specific folder.

  4. Click Take Action next to the template that you want to edit.

  5. In the drop-down list, click Edit Template.

  6. In the Edit Template window, modify the body of the message template as needed.

  7. (Optional) Click Preview to see what the email will look like.

  8. To save the changes to the template, do one of the following:

    1. If the template is a custom template, click Save Changes.

    2. If the template is a built-in system template, you must save the template as a new template. Click Save as New. Set a title, description, folder, and sharing settings, then click Save.

Edit Custom Template Details

You can change some details of a custom email template. These include the template’s:

  • Title and description

  • Folder location in the template library

  • Sharing settings

To change any of these settings for a custom email template:

  1. Do one of the following:

    1. At the organization level, click Email Communications.

    2. At the opportunity level, click Email Communications .

  2. Click Template Library.

  3. In the Template Library, use any of the following methods to find a template:

    1. Use the search box to find templates by keyword.

    2. Use the View drop-down list to filter the search results.

    3. Use the Folders drop-down list to view the templates that are in a specific folder.

  4. Click Take Action next to the custom email template that you want to modify.

    1. To change the template’s title and description, click Template Title/Description. Make your changes, then click Save.

    2. To add the template to a folder, click Add to Folder. Select a folder, then click Save.

    3. To change the template’s sharing settings, click Share Settings. Select a sharing setting, then click Save.

      1. Private makes the template visible to only you. Only you can use the template.

      2. Public makes the template visible to anyone. Anyone can use the template.

Delete a Template

To delete a template from the template library:

  1. Do one of the following:

    1. At the organization level, click Email Communications.

    2. At the opportunity level, click Email Communications .

  2. Click Template Library.

  3. In the Template Library, use any of the following methods to find a template:

    1. Use the search box to find templates by keyword.

    2. Use the View drop-down list to filter the search results.

    3. Use the Folders drop-down list to view the templates that are in a specific folder.

  4. Click Take Action next to the template that you want to delete.

  5. Click Delete Template.

  6. Click DELETE to confirm.
