How do I Schedule a Group?

You can manually schedule groups in several ways. The method that you use depends on whether the group is an account-based group or a number-based group.

Manually Schedule Account-Based Groups

You can schedule account-based group members into shifts separately or together. To manually schedule account-based groups, do the following:

  1. Open your organization. If you are in more than one organization, open the correct organization.

  2. Click Opportunities.

  3. Open the opportunity.

  4. Click Volunteer List .

  5. Click Show Filters .

  6. Click Group Based Filters to expand that category.

  7. Click Groups.

  8. Select Is a Volunteer in any of these Groups. When this option is selected, the volunteer list displays only the volunteers that are members of the specified group.

  9. Enter the name of the group that you would like to filter for.

  10. Click Filter.

  11. (Optional) If the Group Title column is not enabled, Bloomerang CRM asks whether you would like to show it. Click Yes or No to show or hide the Group Title column.

  12. Select one or more volunteers.

  13. Click Roster Mode. By default, Roster Mode shows you the best-matched shifts for the selected volunteers.

  14. To view volunteers who are not a best match, select one of these options:

    1. Shifts With Matching Roles

    2. Shifts With Matching Qualifications

    3. Show All Shifts

  15. Select one or more shifts. You can also enter a shift name in the Search Schedule box.

  16. Click Add Volunteers to Selected Shifts.

  17. To confirm, click OK.

    1. If the shift is over-scheduled, you can add volunteers anyway by clicking Continue.

Manually Schedule Number-Based Groups

When scheduling a number-based group, the Opportunity Manager can select how many group members to roster. This allows Opportunity Managers to split number-based groups across multiple shifts.

You can schedule number-based group members from the Volunteer List or the Schedule pages.

To place number-based group members into a shift from the Volunteer List, do the following:

  1. Open your organization. If you are in more than one organization, open the correct organization.

  2. Click Opportunities.

  3. Open the opportunity.

  4. Click Volunteer List .

  5. Click the checkbox next to the group leader’s name to select them.

  6. Click Roster Mode.

  7. In the Add Group Volunteers Scheduled screen, enter the number of group members to roster, then click OK. The group leader will always claim this amount of spots in the shift.

  8. By default, Roster Mode shows you the best-matched shifts for the selected volunteers. To view volunteers who are not a best match, select one of these options:

    1. Shifts With Matching Roles

    2. Shifts With Matching Qualifications

    3. Show All Shifts

  9. Select one or more volunteers. You can also enter a shift name in the Search Schedule box. For more information about using Roster Mode, read About Roster Mode.

  10. Click Add Volunteers to Selected Shifts.

  11. To confirm, click OK.

  12. If the shift is over-scheduled, you can add volunteers anyway by clicking Continue.

Manually Schedule Number-Based Groups from the Schedule

To place number-based group members into a shift from the Schedule, do the following:

  1. Open your organization. If you are in more than one organization, open the correct organization.

  2. Click Opportunities.

  3. Open the opportunity.

  4. Click Schedule .

  5. Click the shift’s checkbox to select it.

  6. (Optional) Select any other shifts that you want to schedule group members to.

  7. Click Roster Mode to show the Roster Mode pane. For more information about using Roster Mode, read About Roster Mode.

  8. In the Roster Mode pane, select the group leader.

  9. In the Add Group Volunteers Scheduled screen, enter the number of group members to roster, then click OK. The group leader will always claim this amount of spots in the shift.

  10. Click Add Volunteers to Selected Shifts.

  11. In the Add Volunteers to Shifts popup, select one or more roles that you would like to assign to the group members.

  12. Click Add, then click OK to add the volunteers to the shift(s).

  13. If the shift is over-scheduled, you can add volunteers anyway by clicking Continue.
