View Automation Analytics

You can view analytics and monitor participation for automations. Each automation includes real-time and historical data:

  • Constituent counts — The number of times constituents entered, completed, or exited the automation, and the number of times constituents are currently within the automation

  • Constituent lists — The list of constituents for each constituent count

You can view constituent counts and lists for running, paused, and archived automations. The Entered, Exited, and Completed metrics are cumulative, which means they never return to zero, even if you pause or archive the automation.

How It Works

Constituent Counts

Each automation has its own constituent counts:

  • Entered — Number of times constituents entered this automation

  • Within — Number of constituents currently within this automation

  • Exited — Number of times constituents left this automation before completing all the steps

  • Completed — Number of times constituents completed all the steps

A count increases each time a constituent has that status for the automation. Counts reflect the number of status events, not the number of individual constituents. For example, if a constituent enters the same Next Donation automation twice, the Entered count increases by two, even though it’s the same constituent.

Constituent Lists

Constituent lists show you who participates in each automation and their status:

  • Constituents Entered — All constituents who have entered this automation.

  • Constituents Completed — Only constituents who completed this automation

  • Constituents Within — Only constituents who are currently within this automation.

  • Constituents Exited — Only constituents who exited this automation

Each list includes the constituent’s name, status, and the date they entered the automation. A transaction amount also appears if the automation is based on a donation payment. In the Constituents Entered and Constituents Within lists, you can click Remove Constituents to remove constituents currently within this automation.

Constituents can appear multiple times in a list. For example, Avery makes two donations in April on different dates. Both donations qualify Avery to enter the same Next Donation automation. This automation has several actions that span one month.

This means that Avery is currently within this automation twice (at different steps) and appears twice in the Entered and Within lists:

View Constituent Counts

To view constituent counts for an automation:

  1. Click Communications.

  2. Click Journey Automation.

  3. Click the automation. Constituent counts appear.

  4. To refresh these counts, click Refresh Refresh icon .

View Constituent Lists

To view constituent lists for an automation:

  1. Click Communications.

  2. Click Journey Automation.

  3. Click the automation. Constituent counts appear.

  4. To view a list of constituents who entered this automation, click Entered.

  5. To view a list of constituents who are currently within this automation, click Within.

  6. To view a list of constituents who exited this automation before completing all the steps, click Exited.

  7. To view a list of constituents who completed every step in this automation, click Completed.
