Update names, change the display order, or delete categories, custom fields, and values. You can also make custom fields required, move them to another category, or deactivate custom fields or their values.
Add and Edit Categories, Custom Fields, and Values
To add and edit categories, custom fields, and values:
Click Settings.
Click Custom Data.
On the Constituents, Transactions, Interactions, or Notes tile, click Select.
To edit a category, click Edit.
To edit a custom field, click that custom field. Edit anything except the data type and entry method.
To edit a value, click the value.
Organize Categories, Custom Fields, and Values
Organize categories, custom fields, and values so they appear in an order that helps with data entry. How the categories, custom fields, and values are ordered in Settings > Custom Data is how they appear in other areas of Bloomerang CRM.
To reorder categories:
Click and hold the category name.
Drag and drop the category to a new place in the list. The new category order saves immediately.
To sort fields and values in alphabetical or reverse alphabetical order, click AZ or ZA.
To reorder the list in a different order:
Click and hold the field or value name.
Drag and drop the field or value to a new place in the list. The new category order saves immediately.
Make Custom Fields Required
You can make custom fields required, which means you must enter data in that field before you can save the data entry screen.
To make a field required:
Deactivate Custom Fields and Values
To remove custom fields or values from data entry screens and online forms, deactivate the custom fields and values.
Deactivating does not erase existing data. Custom fields that already had data continue to display their values. If a deactivated value was used on a form, the form is refreshed to remove the value.
To deactivate custom fields or values:
Next to the field name, click the down arrow.
Select Deactivate.
After you deactivate a field or value, it remains in the list and is italicized.
To remove a custom field from a form, complete these additional steps:
Click the form's name in the error message. The form opens in a new browser tab.
Remove the custom field from the form. In event registration forms, remove custom fields that are used for registration type or ticket quantity by reassigning them to a different custom field.
Click Save.
Repeat steps 1-3 for every form listed.
Click Try Again.
Delete Categories, Custom Fields, and Values
Delete categories and custom fields that you no longer want to use in Bloomerang CRM.
To see where custom fields are in use, we recommend running a report on the custom field before you delete it. For example, you might want to see every constituent where a constituent custom field is in use on their profile before you make your decision to delete it. If you decide you want to keep the field but no longer wish to see it as an option for future use in Bloomerang CRM, you can deactivate it.
Warning: This process is not reversible. Deleting custom fields that are in use will remove data from Bloomerang CRM. Only delete custom fields you are certain you no longer need.
Categories
A category must be empty to delete it. Delete all of a category's custom fields first, then follow these steps:
Click Edit.
Select Delete.
Custom Fields
To delete a custom field:
Click the down arrow.
Select Delete.
Values
A value must not be in use in order to be deleted. First, remove the value from where it's being used, then follow these steps:
Click the down arrow.
Select Delete.
Note: Custom fields that are automatically created for event registration forms cannot be deleted. These include Registration Type and Ticket Quantity.
What Happens Next?
After successfully deleting a custom field that was in use in Bloomerang CRM, the following will occur:
Constituent Profile - The custom field is removed from the constituent profile.
Reports - The custom field is removed from any filters or columns in existing reports. Check your reports, especially scheduled reports, to make sure they are still accurate.
Letters and Emails -
The custom field is removed if it was in use as a filter.
A placeholder is added to the content to denote that a custom field was previously in use as a merge field. If the custom field was in a data table, the column is removed entirely. The next time you use the template, check your filters to make sure they are still accurate and remove placeholders from the content.
Imports - The custom field is removed from import templates. You should not include the custom field in your CSV files going forward.
Forms - The custom field is removed from Bloomerang-hosted forms and standard forms you may have embedded on your website. You will need to update self-hosted forms to remove the custom field as an option.
Transactions, Interactions, and Notes - The custom field is removed, but existing entries will otherwise remain intact.
