Create an Official Donation Receipt for Canada

Canadian registered charities or other qualified donees may issue official donation receipts that qualify for charitable tax credits. Donors cannot claim a charitable tax credit or deduction unless they are issued an official donation receipt.

Separate letters must be sent for monetary and in-kind gifts. Use these samples to help you prepare official donation receipts.

Monetary Gifts

  1. Click Communications.

  2. Click Letters.

  3. Click New.

  4. In the Transactions tile, click Select.

  5. In the Describe Your Letter section, select Acknowledgement from the Purpose menu.

  6. Click Next.

  7. Customize your letter as needed. Fill in the following details:

    • Under Issued From, enter your City and Province.

    • Enter your organization name, address, and Registration Number.

    • For the receipt’s date of issue, insert a merge field for Today.

    • Insert the authorized signature as an image.

  8. Use the following merge fields for the transaction information:

    • Receipt Number = Account Number, and enter today's date

    • Date of Donation = Formal Date

    • Gift Amount = Amount

    • Advantage = Non-Deductible Amount

    • Eligible Amount = Deductible Amount

      Note: If you are acknowledging more than one transaction in a letter, insert a data table.

  9. Official donation receipts must include the name and website address of the Canada Revenue Agency: canada.ca/charities-giving.

  10. Click Save And, then Keep Editing.

  11. Click Filter.

  12. In the Include section:

    • Add the Type filter with the values Donation, Pledge Payment, or Recurring Donation Payment.

    • Add the Date, if needed.

  13. In the Exclude section:

    • Add the Method filter with the value In Kind.

    • Add Acknowledgement Status with the value Yes or Do Not Acknowledge.

  14. Click Save And, then Preview.

  15. Continue processing your letters as normal.

In-Kind Gifts

  1. Click Communications.

  2. Click Letters.

  3. Click New.

  4. In the Transactions tile, click Select.

  5. In the Describe Your Letter section, select Acknowledgement from the Purpose menu.

  6. Click Next.

  7. Customize your letter as needed. Fill in the following details:

    • Under Issued From, enter your City and Province.

    • Enter your organization name, address, and Registration Number.

    • For the receipt’s date of issue, insert a merge field for Today.

    • Insert the authorized signature as an image.

  8. Use the following merge fields for the transaction information:

    • Receipt Number = Account Number, and enter today's date

    • Date of Donation = Formal Date

    • Gift Amount = In Kind Fair Market Value

    • Eligible Amount = Deductible Amount

    • Description = In Kind Description

      Note: If you are acknowledging more than one transaction in a letter, insert a data table.

  9. If applicable, enter the name and address of the appraiser.

  10. Official donation receipts must include the name and website address of the Canada Revenue Agency: canada.ca/charities-giving.

  11. Click Save And, then Keep Editing.

  12. Click Filter.

  13. In the Include section:

    • Add the Type filter with the value Donation, Pledge Payment, or Recurring Donation Payment.

    • Add the Date, if needed.

    • Add the Method filter with the value In Kind.

  14. In the Exclude section:

    • Add the Acknowledgement Status filter with the value Yes or Do Not Acknowledge.

  15. Click Save And, then Preview.

  16. Continue processing your letters as normal.
