How to Manage Applications to Your Organization

Set up how you want volunteers added to your organization in Bloomerang Volunteer.

People can be added to your Organization in two ways. Potential volunteers can choose to apply directly to your Organization and they can be added to your Organization from an Opportunity if they've registered for one. Depending on the settings you choose, you may accept applicants automatically or you may choose to review whether or not to accept them.

To find these settings:

  1. If you are in more than one organization, make sure you are in the right one.

  2. From the side navigation menu, click Controls, and then click Signup Workflow.

Tip: If your organization is set to automatic approval, and you click Pending Applications or Rejected Applications on the Volunteers page, you can get to your Signup Workflow controls directly from there. The tabs have a message that your organization is set to automatic approval and an Update Controls button you can click to go to your Signup Workflow controls.

Automatic vs. Manual Approval

When someone applies to your Organization or registers for one of your Opportunities, they can be added to your Organization automatically, or they can be put on a 'Pending' list where you, as the Organization Manager, can decide to approve or reject their application. You can enable Automatic Approval or Manual Approval to choose what works best for you.

Accepting and Denying Applicants

If you choose to manually approve or reject applicants, your potential volunteers are moved to pending. To find your pending applications, read Where do I find my pending applications?.

You can also filter applicants by criteria such as Form Question answers, Qualifications, and more.

To approve or reject a pending applicant:

  1. If you are in more than one organization, make sure you are in the right one.

  2. From the side navigation menu, click People, and then click Volunteers.

  3. On the Volunteers page, click Pending Applications.

  4. Hover over the applicant's name.

  5. Do one of the following:

    • To approve the volunteer, click the Approve.

    • To reject the volunteer, click Reject.

To approve or reject applicants in bulk:

  1. If you are in more than one organization, make sure you are in the right one.

  2. From the side navigation menu, click People, and then click Volunteers.

  3. On the Volunteers page, click Pending Applications.

  4. Select multiple applicants. If you select the checkbox in the row with the table column names, you have the option to select:

    1. All volunteers in the organization

    2. All volunteers that match the filters you applied, if you applied them

    3. All volunteers on the current page

  5. Click Take Action.

  6. Select Approve or Reject to approve or reject all selected applicants.

You can also use the Take Action control to send a message to the selected applicants.

Tip: Contribution information appears in applicant profiles so you can see whether the applicant has already contributed time. To see contribution information, click the applicant's name and view the Giving Summary page. For more information about the Giving Summary, read View a Giving Summary for Each Volunteer.
