In the Roles area of your control panel, you can establish a specific set of user permissions based on common roles within your organization. These roles are then applied to the Users in your account to grant or remove access to specific platform functionality. In the Users area, you can access a list of everyone who has been added as a user on your Bloomerang Fundraising account and assign them roles as needed.
This article will explore creating a new role and adding a new user, including the various permission levels, what pending users see, and how to edit user information.

Roles
To get started, navigate to Settings in your organization-level control panel and click Roles.
When you first visit this page, you’ll notice three roles already created. These roles can’t be deleted or edited.
Adding a New Role
To create a new role, click the Add New Role button.
Fill in the Role Name field, and then turn on the Active toggle to enable the role.
Next, you’ll determine which permissions the role should have. Access is divided into Organization Permissions and Form and Event Permissions. Organization Permissions relate to overarching settings that are controlled at the organization level. Form and Event Permissions are for specific forms and events.
In the Organization Permissions drop-down, select the organization-level access you’d like to assign to the new role, and then click the Add/Remove Permissions button. Skip ahead to this section of the article to learn more about what each permission entails.
Once a permission has been added, you can customize the actions the role can take within that permission. The available actions will vary depending on the permission type.
For example, the Manage Users & Roles permission includes options to Read, Add, Edit, and Delete users, as well as Reset users’ passwords, while the Manage Org Info permission only includes Read and Edit options.
Next, you’ll grant Form and Event Permissions. If the role should have access to All Forms and Events, select that option from the top of the list. Otherwise, you can select the specific forms for which you’d like the role to have permissions.
Once you’ve selected some forms, use the toggle if you’d like the role to be a Form Administrator, which means the role has access to all permissions for the selected forms.
If you choose not to make the role a Form Administrator, you’ll be able to select the specific permissions for each form (or for All Forms and Events) from the drop-down. Skip ahead to this section of the article to learn more about what each permission entails.
As with Organization Permissions, once you’ve selected and added the permissions, you can customize the actions within each permission.
When you’ve finalized your permission selections, click Add New Role.
Pre-Defined Roles
As you’re creating roles and assigning permissions, it may be helpful to think about your organization’s major user types. The pre-defined roles you see in your account reflect common user types that nonprofits might have: Accounting Manager, Campaign Manager, and Web Developer.

These roles can’t be deleted or edited. If you click the Edit link for a pre-defined role, you can see the details of the role’s permissions, but you’ll notice that the Save Role button is greyed out.
If you’d like to use a pre-defined role as a template for a new role, you can click Clone to copy all of the role’s permissions.
Users
Adding a New User
Once you’ve defined some roles, you can begin assigning them to users. To add or edit a user, click Users within Settings in your organization-level control panel.
After clicking the Users menu item, you’ll see a table containing user email addresses, names, functions within your organization, the form(s) the user has permission to access, options to edit or remove users, and a way to reset their passwords. You'll see a search tool, as well as a drop-down menu that allows you to search for users on certain forms.
The user system is invitation-based. Only those with access to Add within the Manage Users & Roles permission can invite new users. There is no limit to the number of users you can add to your account or the number of users you can add to an individual form.
Adding a new user is simple. First, click the Add New User button located above the table.
You’ll be taken to a screen where you can fill in the user’s email address, name, title, phone number, and function in your organization. This is also where you'll configure the user's permission levels.
If you’d like to make someone an Account Administrator, toggle on that option at the top of the page. This will give the user access to ALL of your organization’s controls and forms. This includes setting up service integrations and making changes to pricing packages.
Any Roles you’ve set up (including the three pre-defined roles) will appear in the Roles drop-down. You can assign multiple roles to a single user, which will confer all of the access granted to each of the roles you assign.
If you’d like to assign additional permissions beyond what is included in the selected roles, or if you want to create custom permissions for a particular user, you can choose from the options in the Organization Permissions and Form and Event Permissions areas.
Please note: Permissions that are associated with an assigned role cannot be edited for an individual user. If you’d like to remove a particular permission that’s part of a selected role, you’ll need to unassign the role and then manually configure the permissions.
Click Add New User when you’ve finished configuring the permission settings.
The new user will appear in your user table as pending.
What Pending Users See
Pending users need to check their email to set their password. They’ll receive an email that looks like this:
Clicking the link in the email will prompt new users to create a password. Once they’ve set a password and logged in, they'll need to agree to the Acceptable Use Policy.
Please note: It is possible for users to access the Bloomerang Fundraising control panel without clicking the Accept button.
If a user receives a message indicating that they do not have sufficient permissions, they may have sidestepped agreeing to the Acceptable Use Policy. In that case, they'll need log out and then log back in to accept the policy.
Editing User Information
Once a new user has set their password and accepted the terms, the "pending" tag will disappear.
New users can update their personal information by clicking My profile, which appears when they click the letter at the top right of the screen.
On this page, users can also enable two-factor authentication, opt in to give feedback, and reset their passwords.
Account Admins can view, edit, or remove users at any time by accessing the Users area of your control panel. You can also send a Reset Password email if someone forgets their information!
If you're adding a user who already has a donor account (such as a peer-to-peer registrant) as an admin or a form admin, they will receive an email that tells them to log in.
They just need to use their existing username and password to log in. They'll see what forms they have access to upon their first login.
Please note: Keeping this list of users accurate and current is very important. We use this list of administrators for communication purposes. We also use the organization admin list as a guide for who is allowed to make changes to the account.
