[Events] Attendee Import

To upload attendees to your event in bulk, you can use the Attendee Import Tool in the events control panel. This article will walk you through setting up your import spreadsheet and importing your attendees.

Getting Started

To get started with your attendee import, navigate to your donation form’s Events area, and then click Edit for the event you’d like to add attendees to.

Then, click the Attendee Import tab in the event settings area.

You’ll be prompted to upload a CSV file from your computer, containing the attendee information you’d like to import.

Please note: You can only import attendees who are registered for free packages. Packages that require payment are not supported.

Import Spreadsheet

For a smooth import, you’ll need to correctly configure your import spreadsheet. To help, we’ve provided a guide and template for you to use.

Click Attendee Import Spreadsheet Template and Guide at the top of the screen.

The guide explains what each of the fields of the spreadsheet means and whether or not the field is required.

Click Download this import spreadsheet at the top of the screen to download a template that you can use to fill in your attendee data.

Please note: It’s important that you use the spreadsheet provided here. If you use a spreadsheet you’ve created from scratch, you might encounter unanticipated formatting issues. A properly formatted copy of the spreadsheet is also attached to the end of this article.

Pro tip: You’ll need to enable Table Management for your event to use the table column in the import spreadsheet. The table import only works with Manual Table Management. Table import is not supported if you're using Visual Seating Charts.

Importing Attendees

Once your import spreadsheet is ready, click Choose Files to Upload in the Attendee Import area. You can also drag the file from a place on your computer into this area.

If there are any errors regarding the data in the file, a red error message will appear. You’ll need to correct the errors before you can complete the import.

Please note: The import tool is limited to 1000 attendees at a time. If you try to upload a file that contains more than 1000 attendees, you’ll see an error message.

If there are no errors in your import spreadsheet, you’ll see a table of the data and a button to Confirm Import.

You’ll also see a checkbox to Send a Ticket Email to each imported attendee. If you check this option, each attendee will receive a Scannable QR Ticket, along with event details and a link to manage their ticket details.

If the upload is successful, you’ll see a green success message above the import area.
