How do I issue a refund?

This article will walk you through issuing refunds for donations, purchases, and registrations. The refund options detailed in this article apply to all transaction types, but there are some additional options when refunding auction transactions.

Pro tip: Refund options appear 24 hours after a transaction has been processed. If you'd like to refund a transaction within the first 24 hours, you can select the "void" option instead.

Refund Windows

Please remember, refunds are final and only available after 24 hours. The time period for a refund being available after a transaction is made varies depending on your merchant processor. Check the following chart for your processor's refund window.

If you're refunding an eCheck and you use Litle, the option to refund will appear 10 days after the transaction date.

Please note: Not ALL merchant accounts allow for refunds through our control panel, so if you're not seeing the option, this may be the reason. Feel free to call us to confirm!

Refunding a Transaction

To refund a transaction, navigate to Transactions under Reporting in the organization-level control panel.

Locate the transaction to be refunded and click the Transaction ID number link in the left column of the transaction table.

At the top of that page, click the Refund Options button.

Enter the full or partial amount to be refunded, not including the dollar sign, then click Issue Refund.

If you have GiftAssist enabled, you'll see an option to refund the FULL amount of GiftAssist.

If you're using multi-restriction giving, you'll see a separate field for the amount given to each restriction — you can give full or partial refunds for each of those amounts.

You will be asked to confirm the refund details.

Once you've submitted the refund, the transaction details will update as shown below.

Along the top of the screen, you'll see a confirmation message and a message alerting you that one or more refunds are associated with this transaction.

You'll also see a new button to Re-Send the Refund Receipt.

If you click View Refunds, you'll see the Refund History Table, which displays all refunds associated with the transaction.

Pro tip: If you need to void a transaction, you can do so on the same day it is processed.

Auction Refunds

When you refund auction registrations or purchases, you'll see some additional options.

When refunding an auction registration, you'll see a checkbox to Delete Registration and Associated Tickets, returning the refunded ticket package(s) to your pool of available packages.

If you need to void an auction registration, you can do so on the same day it is processed.

When you click the Void Transaction button on the Transaction Details page, you'll see a confirmation message reminding you that the action cannot be reversed. As with auction registration refunds, you'll have the option to Delete Registration and Associated Tickets.

When refunding auction store purchases, you'll a checkbox to Return item(s) to available quantity, returning the refunded store item to your inventory. When refunding a won auction item, you'll see a checkbox to Return item(s) to bidder's cart, making the refunded item available for other attendees to bid on.

Please note: The Return item(s) to available quantity box is checked by default. Items will be returned to your inventory unless you uncheck this box.
